Walk the Property<\/span><\/h2>\n<p><span data-contrast=\"auto\">The first thing you must do regardless of the property size is<\/span><span data-contrast=\"auto\">\u00a0to walk the property.\u00a0<\/span><span data-contrast=\"auto\">It honestly does not matter if you walked it the day before or even the day of. You never know when a leak sprung up or a tree fell down.<\/span><\/p>\n<p><span data-contrast=\"auto\">If it\u2019s a big apartment complex, we&#8217;re going to focus on the common areas<\/span><span data-contrast=\"auto\">\u00a0and<\/span><span data-contrast=\"auto\">\u00a0sweep the\u00a0<\/span><span data-contrast=\"auto\">roofs. We want to make sure there\u00a0<\/span><span data-contrast=\"auto\">haven\u2019t<\/span><span data-contrast=\"auto\">\u00a0been any changes since we last saw the property since we now own it.<\/span><span data-contrast=\"auto\"> It\u2019s a good idea not to outsource this part of th<\/span><span data-contrast=\"auto\">e to<\/span><span data-contrast=\"auto\">&#8211;<\/span><span data-contrast=\"auto\">do list. Communicate With Tenants<\/span><\/h2>\n<p><span data-contrast=\"auto\">The second must<\/span><span data-contrast=\"auto\">&#8211;<\/span><span data-contrast=\"auto\">do item is to communicate with the tenants.\u00a0<\/span><span data-contrast=\"auto\">We\u00a0<\/span><span data-contrast=\"auto\">usually have letters introducing our<\/span><span data-contrast=\"auto\">\u00a0team ready to go at the time of closing. We want them to know that there is a new sheriff in town.\u00a0<\/span><span data-contrast=\"auto\">Usually, we let our property manager send out this letter. But if you are self<\/span><span data-contrast=\"auto\">&#8211;<\/span><span data-contrast=\"auto\">managing, make sure you don\u2019t skip this step.\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">This is your chance to make a good first impression and introduce yourself. Also, you want to let the tenant know where they can pay rent<\/span><span data-contrast=\"auto\">\u00a0and more importantly to whom. There\u00a0<\/span><span data-contrast=\"auto\">have<\/span><span data-contrast=\"auto\">\u00a0been incidents where\u00a0<\/span><span data-contrast=\"auto\">the previous property manager was paid because the tenant was not aware of the change in management.\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">The last<\/span><span data-contrast=\"auto\">\u00a0part of the second step is educating the tenant on how to submit work orders.\u00a0<\/span><span data-contrast=\"auto\">This is a critical step that should not be overlooked. While in step 1, you walked a<\/span><span data-contrast=\"auto\">nd familiarized yourself with the common areas, it is the tenant who is your eyes and ears in and around their units. If you are purchasing from a tired owner or a property mana<\/span><span data-contrast=\"auto\">ger who skimped on expenses, you may be bombarded your first few weeks with work orders that were never <\/span><span data-contrast=\"auto\">fulfilled<\/span><span data-contrast=\"auto\">. I<\/span><span data-contrast=\"auto\">t\u2019s critical to have the right mindset and approach the situation as an opportunity to improve your investment<\/span><span data-contrast=\"auto\">,<\/span><span data-contrast=\"auto\">\u00a0not as a hassle.\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">This distinction in mentality goes a<\/span><span data-contrast=\"auto\">\u00a0<\/span><span data-contrast=\"auto\">long way. It often amounts to what I commonly <\/span><span data-contrast=\"auto\">refer to\u00a0<\/span><span data-contrast=\"auto\">as\u00a0<\/span><span data-contrast=\"auto\">the &#8220;<\/span>home\u00a0<span data-contrast=\"auto\">effect.&#8221; You know you are accomplishing the second step when you start seeing small gardens <\/span><span data-contrast=\"auto\">outside your tenants&#8217; apartments<\/span><span data-contrast=\"auto\">. Just remember,\u00a0<\/span><span data-contrast=\"auto\">tenants<\/span><span data-contrast=\"auto\">\u00a0are quick to leave apartments\u00a0<\/span><span data-contrast=\"auto\">but\u00a0<\/span><span data-contrast=\"auto\">not their\u00a0<\/span><em><span data-contrast=\"auto\">home<\/span><\/em><span data-contrast=\"auto\">. Start Day One<\/span><\/h2>\n<p><span data-contrast=\"auto\">The third thing you must do is to start on day one. This is why you walk the property and <\/span><span data-contrast=\"auto\">establish relationships with the existing tenants. You want to communicate that things are going to be different and then let your actions speak for themselves. <\/span><\/p>\n<p><span data-contrast=\"auto\">On our most recent\u00a0<\/span><span data-contrast=\"auto\">acquisition<\/span><span data-contrast=\"auto\">,<\/span><span data-contrast=\"auto\">\u00a0we had bids lined up on every imaginable work order.\u00a0<\/span><span data-contrast=\"auto\">One work order was for years of neglected\u00a0<\/span><span data-contrast=\"auto\">tree removal and vegetation<\/span><span data-contrast=\"auto\">\u00a0elimination<\/span><span data-contrast=\"auto\">. The bill was $68,000. Let me repeat that: $68,000 for the removal of trees. <\/span><\/p>\n<p><span data-contrast=\"auto\">When I showed up <\/span><span data-contrast=\"auto\">at<\/span><span data-contrast=\"auto\">\u00a0the property,\u00a0<\/span><span data-contrast=\"auto\">I\u00a0<\/span><span data-contrast=\"auto\">was in a bad mood\u00a0<\/span><span data-contrast=\"auto\">just thinking about this bill<\/span><span data-contrast=\"auto\">.\u00a0<\/span><span data-contrast=\"auto\">I was ready to head over to Home Depot and purchase a chain saw and the longest ladder they ha<\/span><span data-contrast=\"auto\">d and begin cutting the trees down myself<\/span><span data-contrast=\"auto\">. However, when I met Scott the Arborist, <\/span><span data-contrast=\"auto\">we toured the property and I saw how immense the scope of work was.<\/span><span data-contrast=\"auto\">\u00a0<\/span><span data-contrast=\"auto\">I would have had to\u00a0<\/span><span data-contrast=\"auto\">purchase every chainsaw\u00a0<\/span><span data-contrast=\"auto\">the state of North Carolina<\/span><span data-contrast=\"auto\">\u00a0to\u00a0<\/span><span data-contrast=\"auto\">accomplish what Scott and his team did th<\/span><span data-contrast=\"auto\">ose<\/span><span data-contrast=\"auto\">\u00a0first few days. <\/span><\/p>\n<p><span data-contrast=\"auto\">More importantly<\/span><span data-contrast=\"auto\">, cutting down the trees w<\/span><span data-contrast=\"auto\">as showing the\u00a0<\/span><span data-contrast=\"auto\">tenants\u00a0<\/span><span data-contrast=\"auto\">that\u00a0<\/span><span data-contrast=\"auto\">their<\/span><span data-contrast=\"auto\">\u00a0<\/span><span data-contrast=\"auto\">feedback was<\/span><span data-contrast=\"auto\">\u00a0taken seriously<\/span><span data-contrast=\"auto\">. The overgrown trees and vegetation created\u00a0<\/span><span data-contrast=\"auto\">multiple dark spots for crime to happen.<\/span><span data-contrast=\"auto\">\u00a0Also, the ove<\/span><span data-contrast=\"auto\">rgrown trees masked a few hidden pathways\u00a0<\/span><span data-contrast=\"auto\">where people could come and go <\/span><span data-contrast=\"auto\">into the property unseen. These were\u00a0<\/span><span data-contrast=\"auto\">only visible after the<\/span><span data-contrast=\"auto\">\u00a0hundreds of<\/span><span data-contrast=\"auto\">\u00a0tree<\/span><span data-contrast=\"auto\">s<\/span><span data-contrast=\"auto\">\u00a0were cut back to our property lines.<\/span><span data-contrast=\"auto\">\u00a0<\/span><\/p>\n<p><strong><em>Related: <\/em><\/strong><em><a href=\"https:\/\/www.biggerpockets.com\/blog\/keep-tenants-happy-maintenance-musts\" target=\"_blank\" rel=\"noopener noreferrer\">The No. 1 Way to Keep Tenants Happy<\/a><\/em><\/p>\n<p><span data-contrast=\"auto\">These pathways<\/span><span data-contrast=\"auto\"> connected the property to a higher-crime area<\/span><span data-contrast=\"auto\">.\u00a0<\/span><span data-contrast=\"auto\">Now that we knew, we could <\/span><span data-contrast=\"auto\">take\u00a0<\/span><span data-contrast=\"auto\">the necessary\u00a0<\/span><span data-contrast=\"auto\">security precautions<\/span><span data-contrast=\"auto\">. All this occurred in\u00a0<\/span><span data-contrast=\"auto\">a\u00a0<\/span><span data-contrast=\"auto\">matter of days\u00a0<\/span><span data-contrast=\"auto\">and every<\/span><span data-contrast=\"auto\">\u00a0tenant witnessed years of neglect being trimmed, pruned<\/span><span data-contrast=\"auto\">,<\/span><span data-contrast=\"auto\">\u00a0and cut<\/span><span data-contrast=\"auto\">.<\/span><span data-contrast=\"auto\"> Every tenant saw the tree-cutting vehicles in every <\/span><span data-contrast=\"auto\">nook of the apartment complex.<\/span><span data-contrast=\"auto\"> And some of the trees were even repurposed<\/span><span data-contrast=\"auto\"> to add better drainage in the community and mulch around the buildings.<\/span><span data-contrast=\"auto\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">I<\/span><span data-contrast=\"auto\">n hindsight, I<\/span><span data-contrast=\"auto\">\u00a0am happy to say that $68,000 was an immense bargain<\/span><span data-contrast=\"auto\">. My asset manager nailed the project and<\/span><span data-contrast=\"auto\">\u00a0the tenant feedback was tremendous.<\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559739&quot;:160,&quot;335559740&quot;:259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">Day one is also the time to implement <\/span><span data-contrast=\"auto\">any expense reductions\u00a0<\/span><span data-contrast=\"auto\">o<\/span><span data-contrast=\"auto\">n the property. A hard lesson, I learned from past projects was\u00a0<\/span><span data-contrast=\"auto\">to\u00a0<\/span><span data-contrast=\"auto\">not implement<\/span><span data-contrast=\"auto\">\u00a0<\/span><span data-contrast=\"auto\">a utility conservation program from the start of ownership.\u00a0<\/span><span data-contrast=\"auto\">W<\/span><span data-contrast=\"auto\">hile the trees are being\u00a0<\/span><span data-contrast=\"auto\">trimmed and cut outside, the leaky toilets and inefficient\u00a0<\/span><span data-contrast=\"auto\">toilets should be replaced inside the units<\/span><span data-contrast=\"auto\">. <\/span><span data-contrast=\"auto\">You have to go in with the idea that every day you don\u2019t implement your business plan is<\/span><span data-contrast=\"auto\">\u00a0a day too late<\/span><span data-contrast=\"auto\">.<\/span><span data-contrast=\"auto\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">T<\/span><span data-contrast=\"auto\">he only way you can accomplish all of this is\u00a0<\/span><span data-contrast=\"auto\">to<\/span><span data-contrast=\"auto\">\u00a0go into the project with a\u00a0<\/span><span data-contrast=\"auto\">healthy<\/span><span data-contrast=\"auto\">\u00a0<\/span><span data-contrast=\"auto\">CapEx<\/span><span data-contrast=\"auto\">\u00a0budget.\u00a0<\/span><span data-contrast=\"auto\">Too often<\/span><span data-contrast=\"auto\">,<\/span><span data-contrast=\"auto\">\u00a0I see operators\u00a0<\/span><span data-contrast=\"auto\">close on\u00a0<\/span><span data-contrast=\"auto\">a project with the bare minimum\u00a0<\/span><span data-contrast=\"auto\">either to inflate the projects pro forma or due to difficulties raising extra capital<\/span><span data-contrast=\"auto\">. This is the ultimate example of\u00a0<\/span><span data-contrast=\"auto\">counting pennies and losing dollars.<\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559739&quot;:160,&quot;335559740&quot;:259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">Another key component of the day one business plan is<\/span><span data-contrast=\"auto\">\u00a0to make sure your asset manager has project management experience. Our asset manager<\/span><span data-contrast=\"auto\">, Justin Fraser, re<\/span><span data-contrast=\"auto\">ceived close to 70 bids on projects needed to execute our\u00a0<\/span><span data-contrast=\"auto\">vision for the complex<\/span><span data-contrast=\"auto\">. Besides getting the bids, it was his responsibility to create a timeline of implementing those bids. <\/span><\/p>\n<p><span data-contrast=\"auto\">This takes years of experience to <\/span><span data-contrast=\"auto\">make the process work smoothly. The last thing you want is\u00a0<\/span><span data-contrast=\"auto\">tackling the wrong projects in the wrong order. You will end up spending more money and time fixing your mistakes.\u00a0<\/span><span data-contrast=\"auto\">You will also create a terrible first impression with your tenants and property manager.\u00a0<\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559739&quot;:160,&quot;335559740&quot;:259}\">\u00a0<\/span><\/p>\n<h2>The Bottom Line<\/h2>\n<p><span data-contrast=\"auto\">When\u00a0<\/span><span data-contrast=\"auto\">you are done celebrating your new purchase, it&#8217;s time to <\/span><span data-contrast=\"auto\">roll<\/span><span data-contrast=\"auto\">\u00a0up your sleeves and get to work.\u00a0<\/span><span data-contrast=\"auto\">It\u2019s important to walk your property,\u00a0<\/span><span data-contrast=\"auto\">communicate with the tenant, and begin implementing your business plan from the first day of ownership. <\/span><\/p>\n<p><span data-contrast=\"auto\">While most\u00a0<\/span><span data-contrast=\"auto\">business plans should be ready before you get to the closing table, be flexible and prepared to adjust on the fly. <\/span><span data-contrast=\"auto\">This is what reserves a<\/span><span data-contrast=\"auto\">nd an asset manager with experience are for. <\/span><span data-contrast=\"auto\">Just remember, it might not be\u00a0<\/span><span data-contrast=\"auto\">as\u00a0<\/span><span data-contrast=\"auto\">sexy\u00a0<\/span><span data-contrast=\"auto\">as acquisitions, <\/span><span data-contrast=\"auto\">but asset management is <\/span><span data-contrast=\"auto\">equally\u2014if not more\u2014important. <\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559739&quot;:160,&quot;335559740&quot;:259}\">\u00a0<\/span><\/p>\n<p>So, you get it: There are a ton of things you have to do right after closing. Success in rental property investing comes mostly after closing.
