Early on, we had used Microsoft Word to create new real estate documents, store the files locally on our hard drives, and email them back and forth. Within the past couple of years, we moved to Google Drive to store our files in the cloud and share the files back and forth, eliminating the need to email them.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">When creating a new lease agreement, for example, we would take an existing lease, make a copy of it, and then edit this new agreement to include the specific property information and dates. I felt like there must be a faster way to do this.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">There are services like <a href=\"https:\/\/www.dotloop.com\/\" target=\"_blank\" rel=\"noopener\">Dotloop<\/a> and <a href=\"https:\/\/www.zipformonline.com\/index.asp\" target=\"_blank\" rel=\"noopener\">Zipform<\/a>\u00a0that will speed up the paperwork for you but charge from $50 to several hundred dollars per month. For example, I converted my lease agreement to a standard template that contained merge fields (like dates and monthly rent). I then matched up these merge fields to a Google spreadsheet and used an add-on called <a href=\"https:\/\/chrome.google.com\/webstore\/detail\/autocrat\/ppgnklghfnlijoafjjkpoakpjjpdkgdj?hl=en-US\" target=\"_blank\" rel=\"noopener\">Autocrat<\/a> to create new leases from the spreadsheet.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">I know that sounds like gibberish. Basically, to create a new lease, I simply enter a few values into a spreadsheet, run Autocrat, and a new lease agreement is created that\u2019s ready to be signed.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It\u2019s not only super quick, but it also eliminates mistakes, as you can clearly see in the spreadsheet what values are needed. This makes it a lot easier to hand off the paperwork creation task to an assistant. It\u2019s also free!<\/span><\/p>\n<p><span style=\"font-weight: 400;\">I\u2019ve only done this using Google\u2019s suite of tools, but I\u2019m confident that you could use Microsoft Word and Excel to do the same thing.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-75521\" src=\"https:\/\/www.biggerpockets.com\/blog\/wp-content\/uploads\/2015\/10\/multifamily-investing-experience.jpg\" alt=\"multifamily-investing-experience\" width=\"702\" height=\"338\" title=\"\" srcset=\"https:\/\/www.biggerpockets.com\/blog\/wp-content\/uploads\/2015\/10\/multifamily-investing-experience.jpg 702w, https:\/\/www.biggerpockets.com\/blog\/wp-content\/uploads\/2015\/10\/multifamily-investing-experience-300x144.jpg 300w\" sizes=\"auto, (max-width: 702px) 100vw, 702px\" \/><\/p>\n<h2>More Than Just Lease Agreements<\/h2>\n<p><span style=\"font-weight: 400;\">For us, we\u2019re able to merge way more than just lease agreements. I\u2019m also able to merge eviction paperwork (different merges for the different magistrates our properties are under), various letters to potential sellers, thank you letters to private investors and sellers, private lender promissory notes and mortgages, and offers for both MLS and for sale by owner properties.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Setting up the merge is not that difficult once you\u2019ve done it a couple of times, and it\u2019s worthwhile even if you don\u2019t use that specific merge all that often. The time savings add up.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">One other neat feature of this merge is the automatic ability to email the newly created document in pdf form. To send MLS offers, I have a merge that allows me to quickly fill out values. We just started using this at the end of 2015 so I\u2019m hoping that we\u2019ll be able to buy more properties in 2016 using just this one upgrade to our paperwork process.
