Tracking Multiple Small Direct Mail Lists---Need Help Automating

We are running two types of direct mail campaigns. The first being a large direct mail campaign scheduled through @Jerry Puckett consisting of mostly Absentee Owners. 

The second type we run is much smaller lists such as vacant houses, foreclosure, etc. These are lists that change rapidly and we add only a handful of names to it every few days. Our headache is tracking scheduled drops for each recipient for several different lists. For example:

  • We want to send a letter to a vacant house every 45 days for 5 times
    • We add 123 Main on Feb 1st; therefore, we will begin his schedule then
    • We add 456 Main on Feb 10th; once again, we begin his schedule then
  • Coinciding, we want to send a foreclosure 3 letters every 10 days
    • We add 321 North on Feb 3rd
    • We add 654 North on Feb 11th

It is not feasible to start a new campaign every couple days with a handful of recipients. Rather, I am trying to build a system that has an ongoing campaign for each list (vacant, foreclosure, etc.) where I can add new names daily. I am hoping someone has a system they can share that will help me stay on schedule with multiple lists. I am trying to build an excel sheet but am discovering that I am excel illiterate.
