For real estate investors and landlords, I’m curious — which paperwork takes the most time to prepare or keep organized?

Some of the common ones I see are:

  • Purchase/sale documents

  • Lease and tenant documents

  • Property expense and receipt records

  • Vendor invoices and repair records

  • Move-in/move-out inspection documentation

I provide remote administrative support for real estate investors, including document preparation, organization, bookkeeping support, property records, and general administrative work.

If paperwork is taking time away from finding deals or managing your properties, what document or administrative task would you most like to have someone help with?

    Repair paperwork is where I'd focus the help. Keep the original request, approved work, vendor invoice and completion note together under the same unit. If the invoice arrives before somebody confirms the work, leave that item open rather than treating the invoice as proof it's finished. That saves another round of calls when the owner asks what they're paying for.

      That’s a really good point, Richard. Keeping the original request, approved work, vendor invoice, and completion note together under the same unit makes it much easier to verify exactly what was done before an invoice is treated as complete.

      This is actually one of the areas I can help with through my remote administrative support for real estate investors — organizing repair documentation, tracking open work orders, matching vendor invoices to the correct property/unit, and following up when completion hasn’t been confirmed.

      In your experience, is the biggest time-consuming part organizing the paperwork, following up with vendors for completion, or keeping track of which repairs are still open?
