Great questions, Caleb — and this is one of those skills that separates the agents who survive from the ones who quietly fade out.
1. I track every lead in my CRM with a next-touch date attached. If a lead lives in a notebook or in my head, it doesn't exist.
2. Short, personal, and useful beats long and salesy. A quick text with a new listing, a market stat, or just checking in keeps the door open without being pushy.
3. I time-block 30 minutes every morning for follow-up before showings and closings can steal the day. Protect that time like it's a listing appointment.
4. The biggest mistake? Giving up after one or two touches. Many of my clients didn't hire me until the fourth or fifth conversation — the business was in the follow-through.
You don't need expensive software to start, just a simple system you'll actually use every day. What are you using to track leads right now?
I'm interested in learning how real estate agents manage their prospecting and follow-up systems.
One challenge in real estate is that a potential client may be interested today but not ready to buy or sell for several weeks or months.
I'm curious about how experienced agents handle this.
1. How do you keep track of potential buyers and sellers?
2. What follow-up method works best for you?
3. How do you stay consistent with prospecting when you're busy with existing clients?
4. What is one mistake new agents should avoid when following up with leads?
I'm particularly interested in practical systems that independent agents and small teams can use without expensive software.
I'd appreciate hearing about your experiences and what has worked in your market.
@Caleb Munyaka, I think keeping things simple is a good place to start. Even a spreadsheet can work for tracking leads, as long as you update it regularly. I'd keep notes on what each person is looking for, when you last spoke, and when to follow up. One mistake I'd avoid is reaching out only when you need business. People appreciate genuine conversations, not just sales calls.
I'm a real estate attorney and broker based in Maryland, and I work with buyers, sellers, and investors on property transactions and contracts. Through that work, I've learned how important clear communication and good follow through are, especially when people need time to make big decisions.
I appreciate you bringing this up, @Caleb Munyaka. Building relationships takes time, and consistency really matters. Happy to connect!
