Do you document repairs, or does it just vanish?

Question

Had a buyer s inspector ask when the roof was last replaced on a property I'm selling. I knew the rough year, but couldn't put my hands on an invoice or date to actually prove it. Ended up having to track down the old contractor's records, which took longer than it should have.

Made me realize I've been fixing things and mentally filing away "handled" without ever building a record I could hand someone later, buyer, appraiser, or even future me. The work gets done, the knowledge of when and what just kind of evaporates. do you all keep a running log of replacements per property, or does everyone else also end up scrambling when someone actually asks for proof?

Easiest way is to use standard naming conventions of documents! Using the roof replacement as example: yyyy-mm-dd _ (vendor) Roof $xxx Then all you need to do is search your storage location for "roof" and the amount will help you ID the replacement documents and the date when it happened. Done properly, you rarely have to even open a document!

Just make a simple excel sheet for Item Name, Date, Payment method. I also use Stessa which automates it all for an LLC I have partners on and its honestly kind of a pain makes it more confusing, the good old excel method is very easy.

We learned pretty early that "I know it was replaced" isn't the same as being able to prove it.

Now, every major repair or replacement gets documented with the invoice, photos if applicable, the contractor's information, and the completion date. It doesn't take much time, but it's been incredibly helpful for warranty claims, owner reporting, budgeting, and exactly the kind of buyer questions you're talking about.

Personally, I keep each property, including my primary residence, in its own QuickBooks file and track every dollar spent (probably overkill, but it works for me). I also create a dedicated email address for each property using the street number and name, then have invoices, warranties, permits, inspection reports, and other important documents sent there. It makes finding records years later incredibly easy.

For rental properties, major improvements should also be reflected on the tax return as capital improvements and the depreciation schedule, making those records a great place to start. For a primary residence, there generally is not any tax reporting until you sell, so having everything tracked in one place makes it much easier to substantiate your basis and answer buyer questions years later.

For roof and major systems I would not track the repair as a note. I would track the asset. Install date, vendor, invoice, warranty, permit if there was one, and the next expected replacement window. The number that matters at sale is not the year you remember, it is the proof packet you can hand the inspector in 30 seconds.
