So it is understandable that an inquiry can sometimes get missed.
The problem begins when there is no system to catch it.
A simple lead-handling process could look like this:
A potential buyer submits an inquiry.
The inquiry is recorded in the CRM.
The responsible agent receives a notification.
The lead receives an initial response.
If there is no reply, a follow-up task is created.
When the lead responds, the conversation moves to the next stage.
Nothing about this process needs to be complicated.
The important thing is that every inquiry has an owner and a clear next step.
A CRM (customer relationship management system) can help organize this process, but simply having a CRM is not enough.
The team must actually use it consistently.
The real question is not whether your business has software.
It is whether your process still works when everyone gets busy.
