I’m in the early stages of building a tech solution for small and mid-size landlords who work with Section 8 tenants or manage affordable housing units.

    Thanks for opening up this conversation, Jordan. I’ve been managing a few units with Section 8 tenants for several years now, and there are some recurring challenges worth noting:

    • Housing Authority Communication: Each local PHA tends to operate a little differently, and sometimes it’s hard to get clear or timely updates. Caseworkers may change frequently, and it’s not always easy to get consistent information.

    • Payment Timing: While the rent is generally reliable, I’ve experienced delays with initial move-in payments or adjustments after a rent increase request. Knowing exactly when to expect funds each month would be helpful.

    • Inspections: This is a big one. Scheduling can be tough, and the standards sometimes feel subjective depending on the inspector. Failing for minor issues can mean long delays before re-inspection and lease-up.

    • Tech Gaps: Most of the major PM software options (like Buildium or AppFolio) don’t have great built-in features for tracking subsidy payments vs. tenant portions, or managing recertifications and inspection dates. I end up using spreadsheets to stay on top of those.

      On Housing Authority Communication:

      How do you currently keep track of which caseworker is assigned to each tenant?

      When you’re waiting on updates, what’s your usual process — are you calling, emailing, or just waiting?

      If someone built a tool that centralized communication with PHAs (like a shared portal or auto-reminders), would that be helpful or too unrealistic?

        On Payment Timing:

        How do you currently track what’s been paid vs. what’s pending from the HA vs. the tenant?

        Have payment delays ever caused major cash flow issues or late fees on your end?

        If a system could alert you in advance about expected delays or log when payments are issued, would that reduce your stress?

          On Inspections:

          How do you prep for inspections today? Do you use any checklists or tools?

          Can you recall a time when a failed inspection caused a long vacancy or missed lease-up? What happened?

          Would a mobile inspection tracking tool (with timelines, reminders, and inspector feedback history) be something you’d actually use?

            On Tech Gaps / Workarounds:

            Would you mind sharing how you currently structure your spreadsheet to track subsidy vs. tenant payments?

            What’s the most annoying thing about having to do it manually?

              Great follow-up questions, Jordan — it’s clear you’re doing your homework here. I’ll chime in based on my experience managing a few affordable units:

              Housing Authority Communication:
              Tracking caseworkers is a bit of a patchwork process for me. I usually note their name and contact info in the tenant’s digital file, but it’s easy to miss updates when someone changes roles. When I’m waiting on info, I tend to start with emails and follow up by phone if things stall. A shared portal or some kind of centralized messaging tool could be helpful — especially if it included message history or templated requests — but adoption by PHAs might be the bigger hurdle.

              Payment Timing:
              I use a combination of my PM software and a manual spreadsheet to reconcile HA and tenant payments. It’s not elegant, but it works. Delays haven’t caused major issues for me, but they can complicate planning — especially when onboarding new tenants. A notification system for pending or delayed payments would absolutely reduce stress, especially around move-ins or rent adjustments.

              Inspections:
              I use a basic checklist that mirrors HQS standards, but honestly, inspector subjectivity still throws things off. I’ve definitely had delays due to what felt like minor issues (e.g., a loose outlet cover). A mobile tool that helps prep for inspections and track outcomes could be very useful — especially if it helped flag recurring issues tied to specific inspectors or properties.

              Tech Gaps:
              My spreadsheet is pretty simple: columns for tenant name, total rent, HA portion, tenant portion, payment dates, and notes. The most annoying part is just remembering to update it consistently. If there were a lightweight tool that helped with this — ideally something that could plug into existing systems or even just import/export CSVs — I’d absolutely be open to trying it.
