How do you stay on top of tenant communication?

Hello BPers!

I self-manage a few SFR and a duplex, and have been tracking all of my important dates on Google Calendar. The problem is I usually end up forgetting to send important documentation until the last minute (like sending new tenants a list of what utilities to turn on, or a move-out checklist) and often end up having to manually print out a lot of paperwork and bring it along with me to appointments.

For those of you self-managing a smaller number of units, have you figured out a good way to do this without spending a fortune on software?

A few low- or no-cost setups that tend to work really well:

1. Innago or TurboTenant (free tiers) – They come with built-in templates for move-in packets and checklists, plus auto-email reminders tied to lease dates. Tenants e-sign everything, so no printing hassle.

2. Google Calendar + Docs – Tag recurring events like “Send utility list” and attach the relevant docs. Set them once and they auto-repeat. Link to a shared Google Drive folder so everything stays organized.

3. Avail (affordable per-unit) – Offers state-specific move-in/out checklists that automatically send at key dates.

Pro tip: Create a single “move-in master packet” as a Google Doc or PDF, then duplicate and personalize it for each tenant. You can use a Gmail merge - a tool that lets you send personalized emails to multiple recipients at once, automatically filling in details like tenant name, unit number, or move-in date from a spreadsheet. It’s a huge time-saver and keeps you from scrambling at the last minute.
