If I have reliable people in my units, I sleep fine. What I wish I spent the most time on at the start was the front end: marketing the unit, sorting through flaky inquiries, wasting time on showings that went nowhere... it was basically a part-time job every vacancy cycle.

What changed it for me was building a simple pre-qualification funnel before anyone books a showing. Every enquiry hits a short form first — move-in date, monthly budget, a couple of basic questions about their situation. It takes them two minutes to fill out, and it tells me immediately whether there's a fit. If there's no fit, no one wastes anyone's time.

Only people who clear that gate get a showing link. By the time someone walks through the door, they're serious and we're already aligned on the basics. My vacancy-to-signed-lease time dropped significantly and I stopped dreading turnovers.

If I could only keep one thing, it would be a solid system for tracking maintenance and communication. Having everything documented in one place—requests, vendor updates, photos, and conversations—makes managing rentals so much easier.

The one thing I wish someone had handed me from the beginning is a reliable network of vendors. Finding dependable plumbers, electricians, HVAC techs, and handymen took a lot of trial and error, and having that team in place probably reduced more stress than any software ever could.

Honest answer,  a simple way to track income and expenses by property from day one.

I spent years piecing together spreadsheets and bank statements at tax time trying to remember what each charge was and which property it belonged to. By the time I figured out a system that actually worked I had already made every recordkeeping mistake possible.

If someone had handed me a clean way to record income, expenses, and security deposits by property when I started, and generate a P&L without calling my CPA, it would have saved me significant time and money every single tax season.

Everything else I figured out as I went. The financial recordkeeping was the one thing that consistently created problems until I got it right.
