What Kind of Property Data Do You Use Before Pursuing a Deal?

It’s my first day here on BiggerPockets! I’ve been working in lead generation and data research for the real estate space for about 10 years, and I’m curious to learn from investors here —

What kind of property data or insights do you find most helpful before deciding to go after a deal?

I’m trying to better understand how investors use data to make smarter decisions in their real estate investments.

In my club, we analyze market trends, rent growth, expense ratios, and local job or population shifts, as well as occupancy rates, tenant quality, property condition, cap rate versus the local market, financing terms, potential for value-add, historical cash flow, and projected ROI. The more you vet the better. We also evaluate the operator’s track record, management strategy, and exit plan especially for passive investments because the team running the property is just as important as the numbers. This helps us evaluate opportunities. Since we focus mostly on passive investing through syndications and partnerships, having solid data behind each deal helps us spot strong operators and avoid riskier markets.

Hey Tracy — welcome to BiggerPockets! Cool question, and honestly, it’s one of those things that separates casual investors from the ones who actually make solid, repeatable decisions.

When I’m analyzing a deal, I tend to focus on three buckets of data:

1. Neighborhood & market-level data — Things like median rents, school districts, job growth, population trends, and recent sale prices within a one-mile radius. That helps me gauge whether the area’s trending up or flat. I’ll cross-check sites like Redfin, Rentometer, or even local property appraiser data to see what’s realistic for rent and resale value.

2. Property-specific data — Square footage, year built, bed/bath count, and repair estimates. But more importantly, I compare price per square foot after rehab to recent sold comps, not just listed prices. That tells me what the finished product could actually sell for — my “true” ARV.

3. Investor metrics — Cash-on-cash return, cap rate, DSCR, and maintenance reserve estimates. If I can’t hit 8–10% cash-on-cash after realistic expenses (not the sugarcoated Zillow version), it’s usually not worth it.
