I’m looking for recommendations from other real-estate investors for a real-estate-focused bookkeeper or accountant.

I live in California but own a rental portfolio in Missouri, with a mix of long-term, mid-term and short-term rentals. I do my own bookkeeping and transitioned to REI Hub in January 2026. My books have historically been in good shape, so I'm not looking to outsource routine monthly bookkeeping.

What I need is someone who can review and reconcile my books quarterly, identify and correct anything I’m doing incorrectly, and make sure everything is clean and tax-ready. Since switching accounting systems, I especially want an experienced second set of eyes to make sure everything was transitioned and categorized correctly.

I already have a CPA/tax preparer in California whom I’m very happy with, so I’m not necessarily looking to replace my CPA. What I’m missing is someone with strong real-estate tax-strategy knowledge who can proactively identify opportunities involving depreciation, cost segregation, capitalization vs. repairs, and other legitimate tax strategies, and ideally coordinate with my CPA when appropriate.

My current bookkeeper has been very valuable on the tax-strategy side and has helped me save significantly on taxes, but consistency and availability for reviewing my books has become an issue.

I’d especially appreciate recommendations from investors who:

  • Use REI Hub (Use Rent Redi in conjunction is also helpful)

  • Own rentals in Missouri

  • Have someone who provides quarterly review rather than full monthly bookkeeping

  • Have found a good way to combine bookkeeping/accounting oversight, tax strategy, and an existing CPA

the person you want is probably less “bookkeeper who enters transactions” and more “quarterly close + controls” person.

i’d have them own a repeatable checklist:

- reconcile every bank and credit card account

- tie the property manager statements to the books

- review uncategorized and duplicate transactions

- separate repairs, capex, loan principal, interest, and owner activity

- confirm each transaction is tagged to the right property/entity

- review the balance sheet, not just the P&L

- deliver a short CPA-ready package with questions/issues clearly listed

for tax strategy, i’d keep the CPA as the decision-maker and have the bookkeeper prepare clean support and flag items early. the biggest value is consistency: same close date, same chart of accounts, same reconciliations every quarter. otherwise “strategy” turns into a year-end cleanup project lol.

    Amy, what you’re describing is actually a very different service from outsourced bookkeeping, and I think that distinction matters.

    If your books are already in good shape, I wouldn't necessarily pay someone to redo the monthly work you're comfortable handling yourself. What you need is more of a quarterly controller/tax-strategy review: someone who can reconcile the balance sheet, review property-level classifications, catch anything that migrated incorrectly from the REI Hub transition, and then look beyond bookkeeping to identify planning opportunities before year-end.

    With a mix of LTR, MTR, and STR properties, I'd also want the reviewer to understand that those activities can have different tax treatment. Things like depreciation, repairs versus improvements, cost segregation, material participation, placed-in-service dates, and STR classification should not just be discovered when the return is being prepared.

    Since you already like your California CPA, I’d actually view that as a positive. A good quarterly advisor should be able to work with your existing CPA rather than forcing you to replace them. The ideal setup is clean books throughout the year, quarterly tax-planning conversations, and then a smooth handoff to the return preparer.

    The one thing I'd confirm before hiring anyone is whether they are comfortable working with your existing REI Hub workflow rather than immediately trying to migrate you into their preferred accounting system.

You are already handling the monthly work in REI Hub, so I would not pay someone to redo it.
