You may want to make a list of your concerns and request an appointment with the company owner or operations manager.- How they respond to and follow thru on this request will tell you a LOT about their professionalism.

For a small portfolio I think it would-be pretty simple to create a system with Excel, QuickBooks, Dropbox or other cloud service, Google calendar or similar, and some type of contact management software to handle maintenance requests.
