It's more about process than tracking.  Do you have processes in place for all aspects of your portfolio - rent collection, inspections, vacancies/screening?  Tracking is the easy part but it isn't enough. Investors waste a lot of time 'tracking' rather than 'managing' their businesses. What is your process for analyzing what you have collected?  Once you have your processes documented and in place, you can more efficiently manage your holdings and grow faster.  My processes are proprietary and reserved for my private clients.  However, there's a lot available on this online. Again, tracking is easy; there is a lot of software touted for that.  This:  "Process management is crucial in real estate investing to increase efficiency, reduce operational costs, and mitigate risks by standardizing workflows. It enables investors to scale operations, maintain consistent property performance, and maximize profitability through automation and organized, repeatable, and transparent procedures."  (End)
Hope this helps.  (Great question by the way; congrats on building your 'empire' to the point where this matters!).
