Consistency. Every applicant goes through the same screening process using the same criteria. It's easy to make exceptions when you're trying to fill a vacancy, but those exceptions often end up being the most expensive decisions. A consistent process not only leads to better residents, but also helps ensure you're applying your standards fairly across every application.

Great question Linda. A couple of folks already hit prior-landlord references and the 3x income check, both of which I agree with, so I will add the one that gets skipped most: read the payment pattern, not the raw credit score.

A 640 who has paid on time for two years is a safer bet than a 720 with three recent late accounts. The score is a snapshot; the trend tells you what next month looks like. I pull the tradelines and actually look at the last 12 to 24 months of behavior instead of stopping at the number.

The other thing I never skip is applying the exact same written criteria to every applicant. I set the income multiple, the credit floor, and the background standards in writing before anyone applies, then run every person through the identical checklist. It keeps the decision objective, it holds up under Fair Housing, and it stops me from talking myself into a marginal applicant because I liked them in person.

Calling previous landlords, not just the last one, is one of the best practices I never skip either. The current landlord sometimes gives a glowing reference just to get the tenant out. Going back two or three landlords often reveals the real story about payment habits, maintenance issues, and how they actually treated the property.

Another step I always do is verify income with recent pay stubs, tax returns, or bank statements, and make sure it is at least three times the rent. Too many times we see people who look good on paper but cannot actually afford the place once other bills are paid.

I also run a full criminal background check and eviction history search on every adult who will live there. These flags have stopped more problems than almost anything else.

Verifying income against actual bank statements, not just a pay stub, is the one I never skip anymore. Pay stubs are easy to fake or cherry pick, but three months of bank statements show you the real pattern: is rent going to eat 25% of their income or 60%? I got burned early on by someone who looked fine on paper but was already stretched thin, and it showed up as late payments within the first two months.

The other thing I always do now is call the current landlord directly instead of just the one they list as a reference. Sometimes people list an old landlord who barely remembers them because the current one would say something less flattering.

For me, it's taking the time to actually verify the information the applicant provides instead of just collecting it.

Anyone can fill out an application. I want to verify employment, income, rental history, and, if possible, speak with previous landlords. Those conversations can tell you things that don't show up on a credit report.

I also try to keep my screening criteria consistent for every applicant. It helps you make better decisions based on objective standards instead of gut feelings, and it creates a smoother process for everyone.

No screening process is perfect, but I've found that spending a little more time upfront is almost always cheaper than dealing with the wrong tenant later.
