An easy way to automate repetitive tenant communication.
One of the best ways to save time as a property manager is to automate tenant emails, especially for frequently asked questions.
And you don't need to be tech-savvy to do it.
All you need is one of Claude Pro plans; the cheapest one goes for $20/month.
Here's what you need to do.
Create two Claude Routines.
You want to prompt the first one to categorize incoming emails into different categories, such as maintenance, rent, frequently asked questions, etc.
The second one checks emails in the FAQ category and responds to them automatically.
To set it up, simply include a list of common tenant questions and their answers in the routine's prompt.
Not sure what questions to include?
Open a regular Claude session, connect your Gmail, and ask Claude to review your past emails and identify the questions tenants frequently ask, along with the answers you usually give.
Then, use that information in your routine's prompt.
That's it. You can automate this process and save yourself a decent amount of time, especially if you get tons of emails every single day.
Hope this helps!
