Who pays the tenant screening fee

Question

Hey, I am a first time landlord screening my first tenant. I am using furnished finder to list my property and handle the initial screening. I feel like this is a dumb question but my prospective tenant wants the screening fee of $44.99 which he is being asked to pay through furnished finder to be credited to his first month rent. Is this a reasonable request? What is the norm for this situation? I dont want to lose a possible good tenant over $45 but dont want to give in if that is not what it typically done. I guess im mostly just trying to set the standard for future similar requests.

@Robin Smith quick clarification here. On Furnished Finder, the tenant also receives a copy of the tenant screening available in their KeyCheck dashboard for 60 days. They have an option to download a PDF as well that they could supply other landlords during that rental process.

Short answer: it’s reasonable to say no, and the norm is that the tenant pays the screening fee and it is non-refundable. That’s how most landlords handle it, including on Furnished Finder.

A few thoughts from experience:

• The screening fee is generally considered the tenant’s cost of applying, not part of rent.
• Crediting it back can set a precedent you may not want to repeat with future applicants.
• If you credit one tenant, others may expect the same treatment once word gets around.

That said, some landlords do choose to credit the fee after move-in as a goodwill gesture—but only once the tenant is approved, signs the lease, and actually moves in. If you go that route, I’d clearly state that it’s a one-time courtesy, not a standard policy.

What I’d personally recommend:
Set your standard now. Something like:

If $45 is a dealbreaker for the tenant, that can sometimes be a useful data point in itself. Good tenants usually understand screening costs.

Tenant should pay and should expect to pay. The screening fee of $45 is not a lot, but I suspect this could be a test to ask for more favors in the future. If anything I would consider this a red flag with this tenant.

The next request might be if you could remove the cap on utilities or allow them multiple pets without charging additional or ANY fees. They will then refer to previous favors and say you helped them before.

Things (favors/concessions) like these tend to snowball.

@Robin Smith  the tenant is asking to be reimbursed so no sensitive info but doesn't keycheck work like smartmove where you choose the payer upon sending the link? landlord or tenant. just curious.

@Benjamin Schlais depends on your state too if you have any special requirements around credit checks.   Some people do credit on occupancy for midterm rentals to push them over the edge to take your place over someone else's.  It is a small price if there is alot of competition in the area. If not, then go with  him paying.

@Colleen F. Great observation. You do have the option to uncheck the box on KeyCheck to pay for the screening as the landlord if desired. The steps do not change for the tenant, all sensitive information is protected. I think the only time I chose that option was for a displaced family through insurance.

Here's why this matters beyond the $45: the screening fee is your first boundary as a landlord. How a tenant responds to "here's the process, here's the cost" tells you a lot about how they'll handle lease terms later. Someone who pushes back on a standard screening fee before they've even moved in will push back on late fees, maintenance responsibilities, and move-out procedures.

That said, a few practical notes:

• Check your state's cap. Some states limit what you can charge for screening. California caps it at the actual cost of the report plus reasonable processing. If you're charging $44.99 and the report costs $30, you're fine, but document the difference.
• Screen everyone the same way. Same application, same fee, same criteria. Fair Housing requires consistency. If you waive the fee for one applicant and not another, you've created a paper trail that looks like preferential treatment.
• Don't let Furnished Finder's platform define your process. Whatever platform you use for listings, your screening criteria and fee policy should be yours, applied identically regardless of where the lead came from.

One thing I started doing: I tell applicants upfront in the listing that there's a screening fee and what it covers. It filters out the tire-kickers before they even apply.

Not a dumb question at all — this comes up a lot with first-time rentals. The most common setup I’ve seen (and what I do) is that the applicant pays the screening fee themselves, and it’s not credited toward rent. It helps make sure applicants are serious and keeps the standard consistent going forward.

That said, if you really like the tenant and want to be flexible this one time, crediting it back isn’t unheard of. I’d just be clear that it’s a one-off so it doesn’t become an expectation.

For future tenants, I’ve used Baselane’s tenant screening tool, which makes it pretty straightforward to have applicants cover the screening cost directly as part of the process. That’s helped me keep things clean and consistent from the start.
