How we screened 300+ tenants with ZERO phone calls! For FREE!

Hey everyone! I am a landlord, turned property manager / real estate agent in Connecticut & Massachusetts and wanted to share with the rest of you the system I've developed that has saved me literally days worth of phone calls!

As is the case with most of you, I put myself in charge of renting out my own apartments...this is all fine and dandy - if I didn't have a full time job already! You know the drill - you post the ads and the countless zillow, trulia, hot pads, etc etc etc emails start coming in... "John Doe is interested in your apartment! Call them IMMEDIATELY!" (Jeesh, chill out Zillow). So what are you left to do? Hop on the phone, hope John answers, have a 5-10 minute conversation talking about all of the things you put in the ad...what a time suck, right?

I was still employed while filling all of my personal vacancies, and often had things happening after work as well. There was no way that I could respond to the hundreds of inquiries I was getting. These rental websites make it way too easy to "one click" your way into showing interest.

I was convinced there had to be a better way, and for now, I think I've found it. I use Google Forms to pre-screen all of the potential tenants for each of my vacancies. I created a google form (example: https://goo.gl/forms/bnhKGIH6oxq5yyM53) that I send with a warm welcome via email (and as a text through Google voice) to all the inquiries that I receive in my inboxes. The prospective tenants fill out the form, and if I think they are a good fit, I show the apartment. If they aren't I explain why and wish them luck.

Here are the benefits that I've experienced:

-I don't try to track down leads. It's a time suck.

-I am no longer showing my apartments to strangers that I know nothing about.

-The form does not allow the person to complete it if they smoke or if they have ever been evicted. (This pre screening is based on the honor system, further verification is essential if they apply.)

-I *almost* NEVER call a prospective tenant. If they can't check their email or text messages, that's on them. I am looking for tenants who are easy to get in touch with. Being able to use technology is important.

-It has become very easy to see where my leads are coming from, and to gauge what the "average" tenant looks like. Google logs all of this information for FREE.

-Time. Time. and mo' time. Time is the one thing I can't get back, so this system is CRITICAL for me and the business I help run. Did I mention I hate wasting time?

I know it's a long post, but I'm excited...please feel free to ask me any questions...I can certainly break it down further. I've attached some screenshots of the data I've collected from my most recent vacancy.

I list all the criteria in the ad, put a link to a YouTube video in the ad (The YouTube video states that I don't do showings until they've passed the application process) the video takes care of all the showings, and I ignore all the automated "this person is interested and would like to schedule a viewing" responses from Zillow and other sites.

The voice mail on my phone tells every person when they call exactly what the criteria for renting the property is, and if they meet all the criteria, then feel free to leave a message.  This way no wasted time for me, the ad, the YouTube video, and my voicemail take care of all the rift raft tire kickers.

The only people who leave a message to call back are the real prospective tenants.  I started this system almost two years ago and it's like putting the rental process on auto pilot every time I have to lease a property.

Just thinking out-loud, but if you could come up with objective questions you could "rank" the applicants by "right" answers.

    For example:

    1.  Would you consider yourself a tidy person?  Yes or No

    2.  Have you ever willfully refused to pay rent? Yes or No

    3.  Have you ever smoked? Yes or No

Person A answers: Yes, Yes, No --> total score of 2

Person B answers: Yes, No, No --> total score of 3

In this example, I'm going to start with Person B (even though person A submitted their application first).

The questions wouldn't be qualifiers (like being evicted or an active smoker), but they could help zero in on the best applicants.

    @Filipe Pereira

This is an excellent tool! Forms are very effective and you can every run an extension called autocrat to populate the data on a google sheet..... This is helpful so you can see the 300+ responses you have on one spreadsheet!

I don't think you understood what I was asking.  How do you set the form up to stop progression when they select that they have been evicted or do smoke?

Felipe, This is awesome! How did you do the "Thank you for your interest. At this time we are not renting to Applicants with prior evictions." section? Guessing you've done something custom. It doesn't seem that Google Forms has an option like this

Very cool.  We use a similar online form for screening residents in Bridgeport, CT, that automatically feeds in to our property management software for tracking and analyzing metrics.

One addition that has been very successful in separating the wheat from the chaff is adding the line "Application fee: $25".

Significantly cuts down screening time and costs and residents come in highly pre-qualified!

@Filipe Pereira will do thanks Filipe. If I have any questions Ill reach out for sure to pick your brain on this. I think this will work much better than using survey monkey to screen potential applicants. If you ever get out to Vegas, look me up!!

@Brad Beam @Don Daniels, I totally misunderstood your question. Sorry! First, you must set the question up as a multiple choice question. Once you have prepped the possible answers, where it says "Continue to the next question" change it so that it goes to a section where you "kick" (for lack of better terms) the applicant out.

It's sort of like an "if this, then that" type of thing. I.E. IF the tenant says s/he smokes, THEN the form will kick them to the section that says we don't rent to smokers. So, one of your answers should let them continue onto the next section. The other answer should kick them to a a section that informs them they shouldn't waste their time :) I have attached a screenshot for your reference.

Please don't hesitate to ask any other questions!

@Filipe Pereira awesome share and great sample. Do you also automate responses for those who don't meet credentials? @Cody L. had a good post about automation and interesting points about lack of response. Wondering want the average touch back on those is overall. For me automated emails have "dead end ahead" stigma, and I avoid responding 99% of the time. I will, however, call a phone number or ping another email address if it's included in the email.

Hi @Liz Brown, what are you referring to when you mention the automated emails? Are you referring to Zillow leads? If so, I would say that about 80-90% of people I send the link to actually go and click it. About 50% of those actually submit a form. So this means that they a) aren't extremely lazy, b)don't smoke and don't have an eviction record, or c) both a & b and they are liars to top it off. :)

@Filipe Pereira I was referring to sending automated emails to non-desirable renters, like Smokers and those with Evictions. Cody's automated emails sound like a great idea to take your automation a bit further, but instead of just letting them fall off, maybe send a follow up automated email letting know how you could potentially help them in the future or in a different way! :)

@Liz Brown smokers and those with evictions never make it through the online form, so I never get their application. The form essentially kicks them out without letting them complete it.

@Filipe Pereira This is awesome and thank you for sharing. Have you thought about integrating automatic replies or even "If This Then That". It seems like you could cater the first response to send out your form automatically so you are literally completely hands off until the tenants receive applications.

    Again kudos for being innovative.

@Kevin Powell this is something I've spent considerable hours trying to figure out, but without success thus far. I have tried "automated replies" in Gmail, however, when it comes time for GMAIL to figure out what vacancy the email is referring to, the system breaks down.

Thanks for opening me to the Google world of ITTT... I had no idea that google had it's own version...I guess I shouldn't be surprised. If I can automate this one part of the process, I will be down to MINUTES in terms of total time invested pre screening tenants. That would be a GAMECHANGER!

Hey @Filipe Pereira, quick question. Someone just clicked like on an old post I made and promptly forgot about, bringing it back to my attention.

Out of curiosity, was your implementation of this system related to my post here from 9 months ago?

This is great Filipe Pereira I just recently had my first experience with placing my own tenants and was definitely looking for a better system to reduce "wasted time."

When you push the applicant out of the form, and tell them you are not accepting applicants with..., how do you stop the applicant from continuing.  I created a form, and I think it looks good, but it seems I have to define what the next button does after they receive the decline/exit screen.  On your form, @Filipe Pereira , the Next button doesn't appear to do anything, which is what I want.
