How We Use VAs to Close 5+ Wholesale Deals Per Month
Hey everyone! I wanted to share how we're using VAs (virtual assistants) in our wholesaling operation. They've been absolute game-changers for scaling our business, and I see a lot of people asking about this, so here's the full breakdown.
What We Delegate to VAs:
We have VAs handle our Launch Control texting campaigns and manage the initial responses. They filter leads and flag the hot ones for us to call. We also use them for BatchDialer cold calling sessions. They make the initial contact, qualify the lead, and pass serious sellers to us for deeper conversations.
The biggest win here is consistency. VAs keep our outreach going daily while we focus on closing deals and managing the business. We're closing around 5 deals a month with our outbound marketing strategy and couldn't hit that volume without them.
Hiring: Agency vs Direct
We hire direct through Upwork. No agencies. You'll save money and have direct communication with your VA. Just make sure to vet them with test calls and review their work history before hiring.
What Makes a Strong VA:
- Strong English communication (critical for cold calling)
- Prior real estate or sales experience (huge plus but not required)
- Coachable and takes feedback well
- Shows up consistently and hits their hours
Compensation:
We do hourly for overseas VAs ($5-15/hour depending on experience and the position). This gives us flexibility and keeps costs manageable while scaling.
KPIs We Track:
- Calls/texts made per day
- Conversations with decision makers (not just dials)
- Leads marked as "hot" or "interested"
- Conversion rate from leads to appointments set
We review these weekly and listen to call recordings to coach them. This is critical for quality control.
What to Expect:
A "hot lead" for us means they're interested in selling and open to our offer range. We aim for 2 leads per day per VA working 40 hours a week. Your numbers will depend on list quality and volume.
Biggest Challenge:
Training and quality control. You need clear scripts, call recordings to review, and regular check-ins. The first 2-3 weeks are heavy on training, depending on their experience and skill.
Cold Calling vs Texting:
Both work, texting gets better response rates initially. We do heavy texting first to warm up leads, then follow up with calls.
We use Launch Control for texts and BatchDialer for calls. BatchDialer has been our go-to for cold calling specifically - simple interface and our VAs picked it up quickly.
When to Scale:
Add a VA when your current one is maxed out on hours and you consistently have excess data. Replace a VA when performance drops after multiple coaching sessions or if they're inconsistent with showing up.
