    Vincent, this is one of those situations where the software is reacting to NY rules more than the workflow actually being impossible.

    I’d separate the two pieces: application/intake first, screening second. Own the application data yourself, then route the qualified applicant into a compliant screening step instead of making one vendor control the entire process.

    That also gives you a much cleaner system long term—application, documents, screening, decision, lease and tenant record all stay connected even if you swap screening providers later.

    We’ve been building a lot of systems around exactly this problem: the process shouldn’t break because one piece of software decides it can’t operate in a particular state.

      What form or program do you use for applications. I have nothing.

    We manage in Rochester and use Buildium, but I think the bigger issue in NY is designing the process around the law instead of picking a screening service first and trying to force everything through it.

    NY caps what you can charge for the credit/background check, requires the supporting report/invoice, and applicants have the ability to provide a recent report themselves.

    So I want the application, supporting documents, screening decision and eventual tenant record connected in one workflow with a clean audit trail.

    Whatever software you choose, I’d make compliance and documentation the first test. Convenience would be second.

      Thank You this was helpful. Im not really looking for convenience so much as Im trying to rent my 1st apartment and have nothing. Im starting from scratch. I've discovered rent redi since my post and now buildium. Audit trail is an important consideration though to be sure. I want to minimize my liability and blind spots.
