Different people can have completely different ideas of what clean means.

That's why cleaning quality should be documented, not left to individual interpretation.

For every turnover, the process should answer:

  • What needs to be checked?

  • What supplies need to be restocked?

  • What should be photographed?

  • What happens when damage or maintenance issues are discovered?

  • Who inspects the property and signs off?

A cleaning checklist establishes the expected standard.

A quality-control process creates accountability.

Together, they help maintain consistency across properties, reduce missed details, and make it easier to identify problems before the next guest arrives.

As an STR operator, I see cleaning as more than preparing a property for the next booking.

It's part of protecting the guest experience and maintaining the property's standards.

Standards create consistent turnovers.

We use EZ Care which can integrate the checklist into the app and then pics to verify. If you get an Airbnb complaint you can download the clean with timestamped photos into a PDF report. We had a guest accuse of leaving dog poop on the kitchen floor and sent Airbnb photos but we had photos timestamped a couple hours before checkin with a sparkling clean kitchen. It was either she did not realize it was her dogs or it was a scam attempt, but either way Airbnb shut it down.

I’d add a clear “not ready” option to the checklist. If the cleaner finds a leak or a broken lock, uploading a photo shouldn’t quietly mark the turnover complete. Someone needs to own the fix and confirm it before arrival. That handoff is easy to lose when cleaning and maintenance use different message threads.

The piece most operators skip is the evidence loop. A checklist tells the cleaner what done looks like, but the standard only holds if someone verifies it. What works for us: the cleaner uploads timestamped photos of the same set of rooms and details after every turnover, taken from the same angles as the reference photos in the checklist. Anything off-standard gets flagged in the same thread, with a photo, before the cleaner leaves, not after the guest arrives. Damage, low supplies, and maintenance issues go into one log per property. Over a few weeks that log shows you which problems repeat, and those are process problems, not cleaner problems.
