Managing Distributions to Investors

How do you track pay-outs during the life of your apartment building investment? Specifically, how do you best track distributions to investors, investor returns, capital account balance, etc.? Is this separate from your underwriting model? If there is a certain software that is used I'm interested to find out what this is as well.
