@Dominik Suwaj I assume you are looking at a property management software? If it is just the one property using a simple app like rent redi or something similar and having additional support docs often suffices. However, if you do want something more robust the most flexible option I've used is "Hemlane" you can check em out online, they are a paid service though, but as I said it is a more robust option than a zillow manager or something similar.

Property management software is great for this... It is kind of like a CRM but for collecting items for your properties. The other option would be to have something like dropbox for each property and save items per property on that platform.

It seems you have specific needs that may not fit into the well-known systems like Buildium, Appfolio. And, even though you could customize the systems to get the job done, it will probably take a big effort and long learning curve.
If you're willing to try AI, it can build a system for you exactly as you want it. Just tell it what you want, and it will create an App. For example, "Create a App that keeps track of my tenant's pet info, insurance status, lease, car, and provides document storage"
Ive tried just about every PM software. Some are ridiculously priced, some outdated, some with year contracts, and some are useless. For me, i like TenantCloud (message me for a trial). Its very user friendly, can handle everything youre wanting to do, their support is stellar, and its not a ridiculous cost each month nor does it have a year contract. I never received any pushy sales calls and to be honest, the entire process with TenantCloud has been an absolute pleasure.

@Dominik Suwaj it looks like you've gotten tons of great PM software recommendations. Some of this depends on the size of your portfolio.
On the bookkeeping side of the house, we use QuickBooks Online to capture all of our clients' property-specific and non-property transactional data in 1 place since the PM software normally just deals with property-specific data.

@Dominik Suwaj I don’t think there is one correct answer to this question. We use appfolio along with their smart maintenance. AppFolio helps you to store all information of your properties in one place however the one thing that we struggled with is accounting. They do not have an automated way to capture credit card transactions. So for accounting, we ended up using quickbooks online by capturing all bank and credit card transactions automatically while keeping track of operations in appfolio. You can text your tenants through appfolio’s inbuilt system however you cannot call them. The smart maintenance is $1/unit (you may need to fact check me on this) on top of the base fee and they will answer all your tenant calls and create a ticket in appfolio’s CRM which helps you to keep track of all tenant/maintenance requests.
