How are you guys organizing email + CRM for flipping AND transactions?
Hey everyone,
I’m currently flipping houses but also handling listings and transaction coordination, so I’m trying to tighten up my systems.
Right now I’m using Outlook for email, but once deals start stacking (flips + closings), things can get messy fast.
Curious what you guys are actually using in your day-to-day.
Appreciate any insight 🙏

Outlook alone for this will break you once volume picks up, been there.
The issue is flips and transactions have completely different timelines and stakeholders but they all end up in the same inbox with no way to see what needs attention today versus what can wait.
What actually works is separating the pipeline from the inbox. Your email stays for communication but every deal needs a home where you can see its stage, what's outstanding and who dropped the ball, without digging through threads.
For flips specifically you want to track acquisition through disposition in one view. For transactions you want milestone based tracking, contract to close has specific checkpoints that need to happen in sequence.
The operators doing serious volume in Florida aren't using better email. They have a system sitting behind the email that organises everything automatically and tells them exactly what needs to happen today.
What's your current volume looking like, how many active deals are you managing at once?
