How are you managing leads across multiple platforms?

Question

Quick question for agents managing leads across multiple platforms — Zillow, Realtor.com, direct referrals, social media.

How are you currently keeping track of all of it? Spreadsheet, CRM, something else entirely?

Asking because I work with agencies on this problem and I'm genuinely curious what people are doing in the field right now.

You have to have a central operating system...or better, an AI operating system.At a minimum, all data comes to one place - your AI operating system.Any outside apps must be either directly connected, or indirectly through Zapier or n8n. That reduces friction and keeps your deal flow engine spinning. Otherwise, multiple systems = more friction and less clarity, allowing opportunity for deals to die between the cracks.

Exactly this. The central system piece is everything.

Most small teams don't have it set up properly yet and the ones that do close significantly more deals without adding headcount.

That's essentially what I build. Are you currently working with agencies on this or more on the investor side?

Most of those all feed directly into the best/largest CRMs and the CRM flags where they came from.  Not really that difficult to track.

Hopefully these days people are no longer using spreadsheets to keep up with leads, but there is probably someone out there doing that.

That's fair, the bigger CRMs do handle source tracking well.

What I see more often with smaller independent agencies is that they're not on those platforms yet, or they're using something that doesn't fit how they actually operate day to day.

That's the gap I work in.
