What Lead Follow-Up Systems Are Other Agents Using?

I’m working on building a more organized lead-management system for my real estate business, and I’d like to hear what has worked for other agents.

For those of you who have a consistent follow-up process:

  • What happens after a new lead first contacts you?
  • How quickly do you respond?
  • How often do you follow up, and for how long?
  • How do you categorize buyers, sellers, renters, and long-term leads?
  • What CRM, templates, automations, or task-management tools do you use?
  • Are you using AI for follow-up messages, lead nurturing, appointment scheduling, or CRM updates?
  • Which parts of your system are automated, and which parts do you intentionally keep personal?

I’m especially interested in advice for agents who are still building their business and do not have a high volume of leads yet.

What are the essential systems you would recommend putting in place from the moment someone inquires through consultation, active client status, contract, closing, and post-closing follow-up?

I want to build the right habits and processes now so that I’m prepared when my lead volume increases. If you have a workflow, checklist, follow-up schedule, or CRM setup that works well, I’d appreciate hearing about it.
