How are you guys tracking permit renewals and TOT changes across multiple cities?

Hey everyone,

I’ve been digging into the short-term rental compliance side of things lately, especially with how strict cities are getting. I know Nashville, Denver, and Austin have all made changes to their ordinances or tax filing requirements over the last 18 months.

The biggest issue I see is that cities still rely on physical mail for renewal notices, and missing one can mean operating illegally or getting hit with some pretty steep fines (I've seen mentions of $500 to $1,000+ per violation). Plus, trying to keep track of changing TOT rates mid-year across different municipalities feels like a part-time job.

How are you all managing this as your portfolios grow?

Are you just using giant spreadsheets and calendar reminders, or is there a better system out there?

I actually got so frustrated looking at this that I started building a simple tracker that monitors ordinance changes and sends automated email alerts 90, 30, and 7 days before permits or taxes are due.
