What's the best tools to be a successful landlord?

I am purchasing my first duplex with tenants in place and am anxious as all could imagine. I wanted to hear people's thoughts and experiences and the best way to manage a property, whether that be 1 or 100. What are the best tools and processes that have been the most successful and you wish you knew about earlier!? I appreciate all and any feedback as I begin my real estate portfolio! Thank you!

1. Get a Google voice number for your residents to contact you.

2. Know all local laws so you aren't in violation of them.

3. For leasing, set up a prescreening questionaire before they book a tour. Only do tours in person so you can get eyes on the people living there.

I use RentRedi for all my lease signing, tenant screening, payments (recommend tenants do autopay). It is free with BP pro.

BP also has state specific leases.

Tips.

1. Always have tenants at least do a pre-screen before showing. Saves you a lot of time from time wasters or people who don't qualify.

2. Check in with tenants quarterly to make sure they are happy and everything is good with the unit. Saves a lot of time and headaches over the years and helps get ahead of problems. A happy tenant makes everything better for all parties.

3. Don't make decisions based off emotions. Be empathetic, but your rules / standards are there for a reason. Most headaches I see are caused by landlords not listening to their own rules and making exceptions.

The first deal is the scariest and it only gets easier with experience. Congrats and stoked for your journey!

A few things that matter most:

First is your lease structure. Make sure it’s very clear on rent due dates, late fees, maintenance responsibilities, notice periods, and how communication should happen. A strong lease prevents most problems before they start.

Second is consistent rent collection. Whether it’s through a platform or a simple automated system, the key is removing emotion and making it predictable every month.

Third is maintenance process. Don’t handle repairs randomly. Have a system for how tenants submit requests, how quickly you respond, and which vendors you rely on. Even if it’s just a small list of trusted contractors, consistency here saves you a lot of stress.

Fourth is documentation. Keep everything in one place, lease, payments, repairs, messages. It helps a lot if anything ever escalates or if you refinance/sell later.

Fifth is communication boundaries. Set expectations early on how and when tenants can reach you so it doesn’t turn into 24/7 texting.Best of luck to you!

Kyle — congrats on the duplex. The best tools are really just simple systems you stick to. A solid lease and clear screening standards keep most issues from ever starting. Use one dedicated communication channel like Google Voice so everything stays documented and you’re not getting calls at all hours. Have a basic maintenance process with a couple reliable vendors you can call when something breaks. Keep your accounting clean with a separate bank account and organized records. And document everything — payments, repairs, conversations, photos.

If you stay consistent with those basics, managing one place or a lot more feels a lot more predictable.

Congrats Kyle, your first duplex with tenants already in place is honestly the best way to start because you skip the scariest part of finding renters from scratch. From my experience, the two things I wish I had from day one were a solid lease and a simple system for collecting rent online, something like Rentec Direct or even just Venmo to start, because chasing checks gets old fast. Just introduce yourself to the tenants, be responsive, and treat them like people and you'll be surprised how smooth it runs.

Kyle congrats on the duplex. The fact that you're asking this question before closing tells me you're going to do just fine.

I manage about 20 doors here in Nashville and the single biggest game changer for me was getting on real property management software early. I use Buildium and it handles rent collection, lease tracking, maintenance requests, and owner accounting all in one place. When I started I thought a spreadsheet would be enough and that lasted about 3 months before things started slipping through the cracks.

The other tool I'd put right behind that is showing automation. I use Tenant Turner to handle all my vacancy showings. Prospective tenants book their own tours, get access instructions, and I don't have to play phone tag with 30 people every time a unit turns. That alone probably saves me 10 hours per vacancy.

A couple things I wish someone had told me on door number one. First, document everything at move in with timestamped photos and video. Walk every room. Open every cabinet. That 20 minutes of work will save you thousands when a security deposit dispute comes up. Second, set up a separate bank account for each property or at minimum one for all your rental income. Commingling funds with your personal account is a headache you do not want when tax season rolls around.

One more practical one. Get your lease reviewed by a local attorney who knows landlord tenant law in your state. The free templates floating around online miss a lot of state specific clauses that can really cost you if you ever end up in court.
