how to word REJECTION letter??

Question

I am in the process of screening my next tenant based on application forms and proof of funds (bank statements) submitted.  I am not charging them a fee, and I have NOT started credit/background check yet.

I understand that if I have generated credit reports on the applicants, then I will need to comply with FCRA requirement and issue Adverse Action letter to the applicant.  But I haven't gotten that far yet.

How do I politely reject some of the applicants?

Can I simply say I have decided to go with a more qualified applicant and just leave it like that?  Or do i have to provide a reason?

Some of them don't even have enough money on their bank statements for 1st month rent, last month and security deposit, do I need to go into details why I am not processing their application?

Any advice would be appreciated.

I generally just give them a call to tell them that I can't accept their application at this time. If they ask why, I'll tell them for their own piece of mind.

The screening service I use provides an acceptance or rejection letter that you can email or print and mail.   Honestly, I have never used it.  If I think they are going to get rejected, I tell them upfront.  I explain to them that I don't want them to waste their money and if they aren't going to meet X requiremtents they won't pass.  They are thankful and leave.

No letter, but I do call and explain why we can't rent.  Most already know but taking a chance..One lady applied, presented all docs ,but didn't think we would verify rental history..Yes, she was currently being evicted! Of course, no public record on file yet...

You do not even have to tell them you are going with another applicant.   You can just simply say after reviewing your application we will not be offering you a tenancy at this time.
