Tracking info on properties

How do you go about tracking information about your properties like what size air filters or other specs you might need to reference when out getting parts for a unit, when preventative maintenance tasks are due, what keys are associated with it, data on major equipment, etc?  I'd prefer something electronic so that it's always available to both my partner and I while we're out.

@Pamela Gondeck I'm not sure if using a property management software would be the easiest way to track this information, so I recommend using an excel spreadsheet.
