Before you pick software, figure out what you'll actually open every day. For one unit, you probably need three things:
- Screening that pulls credit, criminal, and eviction in one report — most platforms offer this now.
- Online rent collection with automatic late fee tracking.
- A maintenance request system so you're not managing repairs over text messages.
The mistake I see most new landlords make is picking a platform for rent collection and then realizing six months later they have no documentation trail for maintenance, no lease storage, and no move-in/move-out records. When a tenant disputes a deposit deduction or you need to show a pattern for a notice, that paper trail is everything.
I'd also add: if your property is in a state with rent control or specific notice requirements (California, Oregon, etc.), make sure whatever you pick actually tracks those deadlines. Generic platforms won't remind you that your rent increase notice needs to be 30 or 90 days depending on the percentage, and that's the kind of thing that costs you real money if you miss it.
Start with one that covers screening, payments, and maintenance in one place. You can always migrate later, but migrating payment history and lease documents is painful. It's much easier to start right.
