Anyone else managing their own sub schedule manually?

I'm a residential superintendent and some days managing the project schedule across a rehab is genuinely hard to keep up with. I'm texting subs while walking to my truck, in between tasks, then sitting back down later to dig through my messages trying to remember who said what date and who I still haven't heard back from.

I wanted to see if I could build something to handle that part and make my job easier. I ended up building an app for it. You create your schedule, assign your subs, and it automatically texts them to confirm before each start date. They reply yes or no by text, nothing to download on their end. In less than two minutes I had my whole schedule set up and didn't have to think about chasing anyone down.

It's a weird feeling honestly. Offloading that to something that tracks it better than I was. But it's been useful on my projects and didn't know if it would be useful to anyone else out there who's self managing their rehabs and trying to keep their schedule from getting away from them.

Dallas manual scheduling works but only if you treat it like a project lifecycle and not a running text thread. Most rehab delays I see in my business do not come from the format of the calendar. They come from missing dependencies. You cannot have the cabinet crew on site before the layout is confirmed and you definitely do not want flooring starting before the wet work is finished and the site is dry.

The biggest habit to build is separating scheduled from ready. Just because a sub is on the calendar for Tuesday does not mean the job is actually ready for them to produce. You have to verify access and materials and prior trade completion and utility status before they even load the truck. That one step saves more money and relationship capital than any app because it stops the wasted trips and the rescheduling drama before it starts.

I usually send a clean weekly look ahead that covers what happened this week and what is coming next and who is needed and what decisions are currently blocking the path. It does not have to be fancy software to work. A simple spreadsheet can beat any app if it is updated and enforced and everyone can see the handoffs before they turn into a bottleneck.

The tool is secondary to the discipline. If the system is not airtight the software is just going to help you fail faster.
