What’s your actual tech stack for managing rentals?

Every “best landlord software” article recommends the same 10 tools. I want to know what people are actually using in practice.

I’ve got 3 doors right now and wanna upgrade my tech stack — Venmo for rent, iMessage for tenant communication, excel for tracking expenses. Etc...

I’ve looked at TurboTenant, RentRedi, Baselane, Stessa, Avail, they all seem fine for rent collection but none of them really solve the things that eat my time, which are mostly:

• Coordinating maintenance (finding contractors, getting quotes, following up)
• Responding to tenant messages at all hours
• Keeping track of what I’ve spent on each property for taxes

Has anyone found something that actually handles the operational stuff, not just rent collection? Or is everyone piecing together 5 different tools and pretending it works?

Also, for those of you who eventually hired a PM what was the breaking point?

Ryan D.'s point about not over-building until scale demands it is right for the residential side. At 3 doors the real answer is probably: Stessa for expense tracking (free, solid for taxes), a dedicated Google Voice or similar number for tenant comms, and a basic PM platform for rent collection.

The maintenance coordination piece genuinely has no great off-shelf answer even at larger scale. Most people end up texting contractors directly and keeping a list of who actually shows up. There's no software that magically solves the "contractor didn't call back" problem.

Where the stack question gets harder is when you cross into commercial or mixed-use. QuickBooks is basically unavoidable for the accounting side once you're tracking CAM charges and NNN pass-throughs per tenant, but nothing bridges QB + lease management + e-sign cleanly for commercial. I ran QBO + spreadsheets for years on the NNN side and eventually built something specifically for it (pigjet.com) because the gap was just too painful at year-end reconciliation time. But for 3 residential doors, you're definitely not there yet — keep it simple.

Or, give you just joined BP and this is your first & only post, is this just another of the onslaught of posts here looking for info to develop a software product to sell?

For my stack: Google Voice for a dedicated number, but recently switched tenant calls to an AI answering service (Leasify) that triages and creates tickets automatically. Still use spreadsheets for financials honestly. The AI intake was the biggest time-saver — no more 10pm 'my toilet is running' calls.

When I had 3 doors, I used cozy (bought by apartments.com), i used google sheet for expense, i used imessage and google voice for communication. I have not thought about using or self-developng a specialized software until I got door 15. Simple is a blessing. Techstack can often be a curse slowing down your scaling.

Coming from a software background, I later found out none of those names fit my need, so I later developed my own tools serving different needs in a better way - still more than half a dozen different tools but under one roof and talking to each other freely.
