How are private syndicators managing operations without institutional software?

Hey everyone,

I’m an undergraduate student studying real estate finance. I've been talking to a few private syndicators running deals in the $500k–$10M range, and a massive theme I keep running into is how fragmented the software stack is for smaller operations.

Most people I speak with are managing multi-million dollar asset portfolios using a scattered mix of custom Excel underwriting models, tracking capital over WhatsApp/iMessage, and manually drafting individualized updates to send via Gmail.

The institutional software out there is fantastic, but at $1,000+/month, it doesn't make sense for a private sponsor doing a few deals a year.

If you are a private operator in this space, how are you handling the manual chaos of managing your cap tables and distribution calculations? Are you sticking to spreadsheet models, or have you found a clean way to patch these systems together?
