Syndicators: At what point did Excel stop working for your investor distributions?

Hey everyone,

I’m an undergraduate student studying real estate finance and researching operational workflows for smaller syndications ($500k to $10M deal sizes).

I've noticed that almost every private operator starts out calculating monthly or quarterly investor distributions completely in Excel, tracking split logic manually, and sending out individual email updates or newsletters via Gmail.

For those of you who have scaled or are currently managing a few active deals:

  • At what point did doing this manually in spreadsheets start to feel too risky or time-consuming?
  • If you have complex waterfall structures (preferred returns, GP promotes, etc.), how are you ensuring your investors actually trust the spreadsheet numbers without paying thousands a month for enterprise portal software?

Would love to hear how you handle the logistics behind the scenes once a deal closes.
