When you're looking at a bunch of listings, how do you filter the obvious no's quickly  foundation issues, flood zone, tax/permit history, ARV that comps don't support? Doing it manually for every deal burns mental energy. Curious if people have a system, or if an auto-flagging tool would actually save time at volume.

I've been screening deals since 1996, first as a flipper and now mostly as a new construction developer, and the biggest mindset shift for me was this: screening is not analysis. Screening is a disqualification game. You're not trying to find out if a deal works. You're trying to find the fastest legal reason to throw it out.

A lot of good checks in this thread already. Here's the structure I'd add on top of them.

Run two separate passes, and never mix them.

Pass one is 90 seconds per property, max. Photos, flood map, price against your buy box, and the as-is to ARV spread. If the spread can't cover rehab plus 20% profit on the back of a napkin, it's dead. No spreadsheet allowed in pass one. The moment you open a spreadsheet on a bad deal, you've lost 20 minutes (plugging in numbers) you'll never get back, times 40 properties.

Pass two is only for survivors, and it's where the tax history, permit portal, county GIS, and real comps come in. Maybe 10 minutes each. Out of a batch of 50, I want 5 or fewer making it to pass two. If more than that survive, my pass one criteria are too loose.

The red flags that cost real money almost never hide in the numbers. They hide in the sequencing. Foundation, water, septic, and access problems all show up cheap in pass two (photos, GIS, permit history) and brutally expensive at the inspection. So I front-load anything structural or site-related before I fall in love with a margin.

Last thing. Track your funnel. Deals screened, deals passed to full analysis, offers made, deals closed. If you don't know those four numbers, you can't tell whether your screen is protecting your calendar or starving your pipeline. Mine runs about 50 to 5 to 2 to 1 when I'm in "acquisition mode".

The checklist matters less than the discipline of refusing to analyze anything that hasn't survived the kill pass.  My 2 cents :-)

You nailed the split, Garrett. Data pulls vs judgment calls. When I run batches, the rule-based stuff—flood, wetlands, absurd pricing—gets automated because doing that manually just doesn't scale. I typically evaluate land or mountain properties, so my initial screen is fairly basic. Can you get to it, can you service it, and can it be used the way the buyer thinks it can be used?

If any of those answers are questionable, I wouldn’t spend too much time modeling the deal. A great price won’t overcome missing access, unknown water or septic, a difficult road or access situation, steep site work, or utilities being farther away than expected.

Tools can help identify the easy flags faster. Flood zone, tax history, permits, GIS notes and old listing data can all be great information to have. But nothing will replace your own local knowledge or a phone call to the right county department if something doesn’t add up.

The objective is to eliminate the bad ones before they take up too much of your time.

You just have to make sure you sort by similar property characteristics: bedrooms, style, basement, garage, etc.

there is really no right way to do this but we look primarily for location primarily.  we are setting strict boundaries around target zones based on the goals of the investment, and even once in that zone we are accounting for things like major roads, real or mental barriers, traffic patterns etc.

Then we consider the actual physical attributes of the property or its ability to have those added again depending on the goal of the investment.
