Scan EVERY piece of paper related to your properties, including repairs!

Standardize your file naming conventions so you rarely have to open the document.

EXAMPLE: yyyy-mm-dd Main_W_123 (HomeDepot) Faucet $xx.xx

Sorting by year, then month, then day is most logical:)

Putting streetname 1st then stree number is easier for our brains to recognize.

Create a few folders under each property: Utilities, Repairs, Title, etc.

Create a single spreadsheet with different tabs for each property where you enter each receipt. You can do this daily, weekly or monthly - don't recommend annually as you'll forget what things were for.

One thing that saved me headaches: take photos of receipts right when you get them and store by property address on your phone. Way easier than digging through paperwork later. Are you doing mostly reactive repairs or getting ahead with preventive stuff?

Spreadsheet works great if it's set up properly. I've built trackers for landlords that log maintenance by property, tag repair type, track costs and contractor details, and auto-calculate totals by category so at tax time everything is already sorted. ran into this exact thing last year, the spreadsheet works until it doesn't, and by the time you're scrambling in january you've already lost half your receipts

honestly what helped me wasn't switching to a fancier accounting tool, it was separating the tracking layer from the accounting layer. quickbooks is great for the money side but it's not really built for storing work order history, vendor contact info, or actual invoice photos alongside the job

what's worked for me: keep a simple per-property log of every repair. date, vendor, what they did, cost, and a photo of the invoice. doesn't matter if it's in a folder or a tool, as long as it's organized by property and you touch it weekly, not quarterly

if you're managing more than a couple units and want something built specifically around this, i've been working on a tool that handles exactly this. happy to share more if it's useful, but the system above works fine on its own too

Stessa used to have terrible sync issues if I recalled correctly many years ago. It always asked me to log back in randomly and quite annoyingly. So the moment my portfolio grew out of it, I just stopped using it and instead to start to build customized tools for my own portfolio.

I use Stessa. It's free up to 10 units I believe and you can sync your bank account to their software so all of your transactions can be labeled for specific properties or units. They also have tax reports that you can create for filing purposes which makes it easy if you track your expenses throughout the year.

Speaking of receipt scanning. I use one of the fast scanners, fujitsu to scan all receipts that I collected. I label them with date, property assignment, vendor in their name and then i have a database (excel, google sheet, for software developer or data engineers local or cloud postgres) to store it. Can't be more happy with such strategy. Able to do relational data manipulation is a must for me to find data trends and cost reduction in later. Keen to learn how others are doing it.

You can use apps like CamScan or GeniusScan to take a pic and convert to PDF, then email to yourself. Create a standardized naming convention!!!- It should minimize how often you have to open the document. I track all of my accounting through QuickBooks Online. Every maintenance expense, repair bill, and vendor payment gets categorized by property. For handling the actual maintenance requests from tenants, a simple software like RentRedi or Baseline works great, but when it comes to tracking the bill and the money side of things, that all flows through QuickBooks for me. The key is having one system of record for your financials, and QuickBooks Online makes that seamless, whether you have 2 units or 20.
