How are you managing property tax payments across multiple counties?

Question

I own land & houses across multiple states and keeping up with property tax payments is becoming a real headache. Every county has its own portal, its own deadlines, some still want checks mailed in. Right now I'm using spreadsheets and calendar reminders but it's not great.

For those of you holding properties across multiple counties, how are you currently handling this? Doing it yourself, using a VA, or have you been able to find some tool that can help out with this?

I just got hit with a couple of late payment so also trying to navigate that.

@Santa King, I am still working from the paper bills they mail me. The physical paper is my reminder at this point but it is less than ideal.

I believe QuickBooks has a feature to set up reminders for recurring bills that need to be paid. If you aren't using QB, then maybe check with whatever you are using for bookkeeping.

The QuickBooks bill approach Jake mentioned is exactly what I do — I create scheduled bills in QBO for each property's tax installment with the parcel number in the memo field, estimated amount if the bill hasn't arrived yet, and due date. When the actual bill comes in I update the amount and pay directly from QB. The key thing is setting the reminder 30 days out, not 7 — county tax portals go down, checks get lost, and cross-state wires can have processing delays.

For the multi-state piece specifically: I keep a master spreadsheet with parcel number, county assessor portal URL, payment method (some counties genuinely only take check), payment schedule (California splits into 2 installments, other states are different), and last confirmed payment date. One column for whether the county sends paper bills or email only. That last one bites people constantly.

On the late payments — most counties will waive the first late penalty if you call and have a clean history. Worth a 10-minute call before just paying it. California county assessors are particularly reasonable about first-time waivers.

Good problem to have — but it does get messy once you cross counties and states.

Most owners I’ve seen handle this in one of three ways:

1. Centralized tracking system.Instead of spreadsheets alone, they maintain one master tracker with parcel numbers, county portals, due dates, and payment confirmation notes. The key is having one place that mirrors everything, even if payments happen on different sites.

2. Delegate the admin.Some owners use a VA or bookkeeper to monitor deadlines, prepare payments, and confirm receipts. The owner still approves the payments, but the tracking and reminders are handled consistently.

3. Escrow where possible.If properties are financed, some lenders handle tax escrow. It removes the administrative burden, though it’s not always available on investment loans.

The main thing that helps is building a repeatable calendar cycle (quarterly or monthly check-ins) so it’s not dependent on memory or scattered reminders. Once you’re in multiple jurisdictions, it really becomes more of an operational process than a simple task.

I use QBO for my bookkeeping. I will create bills with future due dates and estimated amounts if I don't know the exact amount yet. This helps me understand the accounts payable (what I owe), so I am not surprised by a tax bill. I will do the same with insurance if I pay the premiums outside of an impound account.
