Self-managing landlords, what's the most time-consuming repetitive task in your workflow?

I'm talking about the stuff that isn't hard, just tedious. Chasing rent, logging expenses, sending the same notices every month, coordinating maintenance, keeping records organized for tax time.

I'm building a tool for self-managing landlords and trying to figure out where the biggest time sinks actually are from people doing it day to day.

Curious what eats up the most time for everyone else.

For me it's the bookkeeping and end of year tax prep. I work three 12 hour shifts a week so I have four days off to handle property stuff, but somehow the actual landlording takes way less time than tracking every receipt and expense. I've got 12 doors across two markets and the maintenance side is easy since my husband handles most repairs himself. Sitting down to reconcile everything in the spreadsheet is what eats a whole Sunday every month.

Coming from commercial — NNN and modified gross leases — my answer is different from most residential folks here. The single biggest time drain for me has always been year-end CAM reconciliation. Gathering invoices across multiple vendors, allocating costs by square footage, cross-referencing against what tenants actually paid in monthly estimates, then documenting it all clearly enough that tenants can't just dispute it out of hand. That process alone used to take weeks. Second place goes to keeping the books organized in a way that actually maps to how leases are structured. QuickBooks doesn't naturally think in terms of base rent vs. CAM vs. NNN pass-throughs, so you end up building your own system or spending time translating between what QB shows and what a tenant statement needs to look like. If you're building for residential self-managers specifically, I'd imagine the equivalents are security deposit accounting and move-out documentation — same underlying problem, just different flavor.

Great question — most of the time drain isn’t the “hard” work, it’s the repetition around it.

In practice, the biggest time sinks tend to be:

• Back-and-forth communication — chasing updates from tenants and vendors more than the actual issue
• Maintenance coordination — not the repair, but scheduling, follow-ups, and making sure it actually got done right
• Rent follow-ups — reminders, tracking partial payments, and documenting everything
• Repetitive admin — logging expenses, organizing receipts, and pulling things together later for taxes

A lot of these aren’t complex individually, but they fragment your time throughout the day. When there’s no clear system or standard process, each task turns into multiple touchpoints.

Usually the biggest win isn’t removing the task — it’s reducing the number of steps and back-and-forth required to complete it.

This is exactly why I've never self-managed. I teach full-time and there's just no way I could handle showings or maintenance calls during the school year. By the time I get home I'm grading or prepping for the next day. My property manager takes 8% and honestly some months that stings, but then I think about what it would actually cost me to deal with a leaking water heater on a Tuesday afternoon when I'm standing in front of a classroom. We have a few rentals across two markets and trying to coordinate anything from a distance without a PM would be a disaster. The 8% is basically the price of keeping my day job and my sanity.
