Why I scrapped a system that worked fine (and what I learned from it)

I self-manage a handful of small properties and recently tried building my own lightweight assistant to cut down on the usual headaches—late rent, lease renewals, vague maintenance texts.

I set up an automated flow that collected lease data from tenants, tracked renewals, and pinged them for maintenance issues. Technically, it worked.

But here’s what surprised me:
No one said, “Wow, this is helpful.”
No one even seemed to notice it made anything easier.

That’s when it hit me:
The best tools don’t just work. They make you feel like things are under control.

So I rebuilt the flow with one goal:
👉 Make tenants feel heard
👉 Make myself feel like the property is handled

Shorter messages. Less friction. Instant confirmations.

Since then, fewer follow-ups. Faster tenant replies. And honestly? Less stress.

I’m curious—what tools or systems (even DIY ones) have actually felt like they gave you control as a landlord—not just more stuff to manage?
