What Property Management Strategies Have Actually Worked for You?

I've seen countless discussions about bad property managers, and I've had my own frustrating experiences. But rather than another thread about everything that's wrong with property management, I'd like to focus on what actually works.

Let's assume self-managing isn't an option. Maybe you own properties out of state, have a full-time career, or simply don't want to be a day-to-day landlord.

For those of you who rely on third-party property management, what strategies have helped you get consistently good results?

• How do you find and vet a property manager?
• What expectations and performance standards do you establish from the start?
• What reports or KPIs do you review each month?
• How do you keep managers accountable without micromanaging?
• Have you built systems or processes that have noticeably improved communication, maintenance, tenant satisfaction, or profitability?
• What lessons have you learned after switching management companies?

I'm looking for repeatable systems, habits, and frameworks that have worked in the real world. There are plenty of horror stories out there—I want to hear from investors who have figured out how to make third-party property management successful.

@Kamil Lysik 's transition story is the one that sticks with me most, that stuff shouldn't be recoverable-or-not depending on whichever PM you're leaving. The owners who handle transitions cleanly usually aren't the ones with the best PM, they're the ones who kept their own parallel record (ledger, work orders, deposit docs) the whole time, independent of whatever system the PM was using. Then a bad transition is an annoyance instead of a crisis.

Are you keeping your own copy of records now, or still relying on whichever PM's system holds it?

Great topic — happy to share what's actually worked for me managing properties remotely through third-party PMs.

Finding and vetting a PM

I stopped relying on Google reviews alone (too easy to game) and started doing three things:

• Asked for references from owners who've been with them 2+ years specifically — not just recent happy clients
• Called their office pretending to be a prospective tenant to see how fast they respond and how professional they sound
• Asked
 how they handle a specific scenario (e.g., "tenant stops paying rent — 
walk me through your process day by day"). Vague answers were a red flag
 every time.

I 
also check how many doors one property manager is personally responsible
 for. If it's 150+, you're going to get generic, reactive service no 
matter how nice they are on the sales call.

Expectations set from day one

I put these in writing before signing, even if it's just an email summary attached to the management agreement:

• Response time SLAs (e.g., tenant maintenance requests acknowledged within 24 hours)
• Approval threshold for repairs — mine is $300–500 without prior owner approval, anything above that gets a call or text first
• Monthly reporting date (same day every month, non-negotiable)
• Vacancy turnaround target (e.g., unit re-listed within 5 business days of move-out)

Monthly KPIs I actually review

• Occupancy rate / days vacant
• Rent collected vs. rent due (delinquency %)
• Maintenance spend vs. budget
• Average time-to-lease for vacant units
• Renewal rate (tells you a lot about tenant satisfaction without asking)

If a 
PM can't produce these numbers cleanly, that's a system problem — good 
management software (AppFolio, Buildium, etc.) spits this out 
automatically.

Accountability without micromanaging

Honestly,
 the biggest lever here has been the monthly KPI review itself. If 
you're consistently looking at the same numbers, you don't need to check
 in on every work order — the trend lines tell you when something's off.
 I also do a quarterly call (not just email) to talk through anything 
outside the numbers.

What moved the needle most

Switching
 from a "mom and pop" 2-person shop to a mid-size company with actual 
systems (owner portal, automated rent collection, standardized 
maintenance vendor list) made a bigger difference than I expected. It 
wasn't about personality or trust — it was about process maturity. The 
best PM I ever fired was a genuinely nice, hardworking person who just 
didn't have systems in place, and it showed in delinquency rates and 
vacancy time.

Lesson from switching companies

Get 
everything in writing during the transition — especially tenant ledgers,
 security deposit accounting, and open work orders. My worst transition 
headache was a PM who "lost" records of a security deposit dispute, and 
untangling it after the fact cost me weeks.

We encourage you to learn from the mistakes of others by reading posts here on BiggerPockets from owners that picked a PMC solely by price and regretted it.

We recommend exploring as many sources as possible to get referrals AND cross-reference them to get as much accurate information as possible.

Even if someone gives you a referral, do NOT make the mistake of assuming that just because a PMC met their expectations, they’ll meet your expectations. We all have our own expectations and what works for someone else, may not work for you.

If you’re new to all of this, it's often a case of not doing enough research, as you don't know what you don't know!

So, ask more questions!

EXAMPLE: PMC states they will handle tenant screening – what does that specifically mean? What documents do they require, what credit scores do they allow, how do they verify previous rental history, etc.? You’d be shocked by how little actual screening many PMC’s do!

This also leads owners to ASSUME simpler is better when it comes to management contracts.

The reality is the opposite - if it's not in writing then the PMC doesn't have to provide the service or can charge extra for it!

A well written management contract should clearly spell out what is expected of both the PMC and the owner, to PROTECT both and avoid misunderstandings. Why do you think purchase contracts are so long and have such small print?

We recommend you get management contracts from several PMCs and compare the services they cover and, more importantly, what they each DO NOT cover.

EDUCATE YOURSELF - yes, it will take time, but will lead to a selection that better meets your expectations & avoids potentially costly surprises!

P.S. If you just hire the cheapest or first PMC you speak with and it turns into a bad experience, please don’t assume ALL PMC’s are bad and start trashing PMC’s in general. Take ownership of your mistake and learn to do the proper due diligence recommended above😊

I really appreciate Drew Sygit's response. It highlights something I think is easy to underestimate: due diligence is not just about asking a few questions or comparing prices—it’s about understanding the details behind the services being provided and knowing what to look for.

I think the rookie mistake I made was not fully understanding what “doing your due diligence” actually entails.

I knew I needed to be careful, and I asked questions, but I didn’t always know the right follow-up questions to ask. I also didn’t have a strong example or benchmark to compare against, so I didn’t know what “good” looked like.

I think this is the gap a lot of people on this forum run into. We’re told to “do your due diligence,” but what does that actually mean in practice? What specific questions should you ask? What processes should you verify? What standards should you expect before making a decision?

That’s the part I’m trying to better understand—moving beyond the general advice and learning the practical framework that experienced investors use.

The two most important KPI's for owners are income and expenses. After that it is vacancies. If these aren't in line, then it will lead you to other questions. This is expected and not micromanaging.

Vetting them is about asking the right questions, hearing the right answers, and doing your due diligence.
