Question

I use mysmartmove to do credit checks, background checks, eviction checks, etc. Should I still require a separate application and/or should I require SSN#'s on file to continue to check on tenants?

I don't think it would be necessary.

Do you mean you'd like to run additional credit checks and background screenings while they occupy your rental?  I have never done that, unless a new tenant moves in.  Which they would be required to go through the process as well.

No, do not keep it on file. If you keep personal data on file you are legally liable should someone steal that information.

Your credit screening company should keep it on file for you electronically. That's sufficient.

Yes keep it on file. I only say this from a personal experience of NOT retaining their SSN and then an attorney needing it for filing an eviction etc. The PM that we use said their attorney required it to file the paperwork. I've not personally undergone an eviction (the tenant got their life back on track) but the fact that I don't have their SSN now erks me a little.

Although most, if not all, tenant issues may be handled without a social security number, one situation where it is required is when using a collection agency to collect on a judgement.

Regarding your concern about re-verifying background checks with existing tenants, I do not believe this is commonplace.

Some of the books I have read talk about running background checks on your tenants once a year. As a landlord we are responsible for a safe environment for our residents. I’m thinking making sure someone isn’t now a registered sex offender or arrested for domestic violence would count. Wondered if others verified every year?
