What software are you using for BRRRR if you're not self-managing?

Curious what others doing BRRRR are using for software, specifically if you have a property manager handling the rental side.

The challenge is you still need to track the full cycle: acquisition, rehab budget and draws, refinance comps and timing, and then ongoing portfolio performance once it's stabilized and handed off to a PM. But you don't need rent collection, maintenance tickets, or tenant portals since the PM handles all of that.

Full PM platforms like AppFolio or Buildium feel like overkill and you're basically paying for features you'll never touch. But spreadsheets start breaking down once you have a few deals running simultaneously at different stages.

A few specific questions:

1. What are you using to track rehab budgets and draws during the renovation phase?

2. How are you monitoring refi timing and equity position across your portfolio?

3. Is anyone using a CRM or project management tool (Monday, Notion, Airtable) and making it work?

4/ Once a property is stabilized and with a PM, how do you keep tabs on performance without duplicating what the PM is already reporting?

Feels like there's a real gap between "I need a full PM system" and "I just need spreadsheets," and I'd love to hear what people have found that actually works for this middle ground.
