Is anyone actually running their BRRRRs from one piece of software?

I’m trying to figure out if BRRRR investors actually have one clean system for the whole project, or if everyone is just duct-taping it together.

The messy part to me is that the rehab is not just “construction.” It starts as an inspection report, turns into a scope, turns into contractor texts, turns into receipts, draw requests, rent-ready decisions, refinance paperwork, appraisal notes, and then eventually a rental file you still have to manage. That seems like a lot of important stuff living in different places.

For people doing BRRRRs, are you using one software to keep the rehab scope, budget, photos, contractor updates, lender docs, and refi prep organized? Or is it still mostly spreadsheets, Google Drive, text messages, and memory?

Does anyone have a recommendation for software that actually helps with this?

Ali, honestly, I don’t think most investors have found one perfect platform that handles every part of a BRRRR well. The rehab phase and the long-term rental phase are almost two different businesses.

I’d choose one system as the “home base” for the project and make everything flow through it: scope of work, budget, contractor updates, photos, receipts, draw requests, appraisal notes, and refinance deadlines. A flexible tool like monday.com or Airtable can work well for that. If you want something built more specifically around construction, budgeting, job costing, and contractor communication, JobTread is also worth comparing.

The tool matters less than having one rule: if an update comes through text, email, or a phone call, it gets added to the project that day. Otherwise, even the best software eventually turns into another place with incomplete information.

I’d also keep every rehab invoice broken down by what was actually replaced or improved. That recordkeeping becomes important at tax time because repairs, improvements, depreciation, and partial dispositions may all be treated differently.

The rehab phase is honestly messier than ongoing PM ever is, since everything's moving at once. Draw requests to the lender don't automatically line up with what the contractor actually says got done that week, so someone ends up reconciling it after the fact. The one thing worth systemizing early, even before picking any software, is tying every draw request to the specific photos and invoice it's based on. That alone stops it turning into a paper chase months later at refi.

Is it the draw/lender side that's messiest for you, or more the contractor communication itself?

Great question and welcome! From what I've seen, most BRRRR investors are still using a mix of tools rather than one perfect platform. I know investors who manage everything with spreadsheets, Google Drive, a note-taking app, and a shared folder for photos and receipts. As your portfolio grows, it becomes more important to have a consistent process than the software itself. I keep every property in its own folder with the purchase documents, inspection, rehab budget, contractor bids, progress photos, invoices, lease documents, and refinance paperwork all in one place, along with a simple spreadsheet that tracks the budget and timeline. There are project management tools that can help with tasks and communication, but I haven't found one that does acquisitions, rehab management, refinancing, and long-term property management really well all in one package.
