Our strategy is a combination of two different platforms.  For all things bookkeeping and rental document related we use Stessa.  This software is great for tracking all receipts and transactions.  It makes tax time super simple.  I also store all documents related to tenants and properties on this platform.

As for constancy in managing our business all of our processes are documented via work instructions that we have written and upkeep ourselves.  We manage our own properties so these cut down on mental bandwidth when relisting properties.  We have email templates for communications and many other standards that we follow through all steps from purchasing properties, marketing, onboarding, rent increases, evections, etc.....  All of these are stored in Google Documents.

All of this has worked out well for us as organization is key to me managing our business with the most efficiency minimizing the time it takes us to do tasks.  If you have any questions or would like to see any of our documents I would be happy to share, just let me know.
