What does your Property Management Dashboard look like?

Most PM’s that I have worked with over the years have been on the smaller side, typically under 500 units. A trend that I have witnessed in almost ALL of these PM's is a lack of knowledge and or understanding of their numbers.

Like any industry, Property Management does have key metrics that we all should be monitoring. From a technology stand point, you would think that most property management software would have these metrics front and centre but they don’t.

Where does this leave us?

Well, most have to gather and track these on our own. Often, via the old tried and true excel spreadsheet. Luckily these spreadsheets are not going away anytime soon and can now be leveraged in the Cloud.

1. Company Sales

Your eyes should always be monitoring your sales i.e income and expenses. You should know the ins and outs of your profit and loss statements. Always looking for ways to increase income and ways to decrease expenses.

You also want to monitor the different categories of income. A typical Property Management firm can have multiple sources of revenues such as management fees, maintenance recovery, leasing commissions and late rent fees.


2. Management & Rental Metrics

This dashboard would include the typical metrics that most PM’s would want to know.

  • Vacancy rate
  • Average Rent in rent roll
  • # of units under management
  • Leasing stats (leads, applications and new leases)



3. Maintenance Metrics

If you over 200 units, maintenance is now a big part of your company. As such, you should be monitoring some statistics about your maintenance work.
Items such as number of open, active and closed work orders in the past month.

Another important fact to know is the average time its taking for work orders to get completed.

Maintenance is all about customer service. How fast you can get there and how quickly you can solve the resident’s issue.
