This generates a bill to the tenant in QuickBooks for this bill, and all we have to do is print out the Invoice that QuickBooks generated and send it to the Tenant with a copy of the bill the water department sent to us. 

You can tell a lot about someone in a short time period, such if they seem like they're trying to sell you, if they seem honest, or if they seem like the do shady things; I had a guy tell me a story once about how he performed a shady repair on a building when they disputed an invoice he submitted.  

The issue is each month I am spending more time placing invoices, pictures, and other documents in folders, all which could and probably should be automated.

With sub-meters, the LL/PM will need to manually calculate usage of the secondary unit to subtract from the primary utility invoice to bill both tenants properly each month.

After about a month, I realized that I hadn't received an invoice (not a bad thing) so I looked into it, reached out to the VAs and received no response.  

Later they received an invoice for $5,000 for engine repair.

Get all invoices for everything.

Hopefully I can find a Chicago based roofing contractor here (BP) and show them the invoice to see how much the work was worth. 

You should know if an invoice is off by a single penny from what your bank statement shows.
