Preventative Maintenance Checklist & Inspection Letter

Good afternoon fellow investors, I would like to schedule a quarterly preventative maintenance inspection for one of my rental properties. The inspection would Include a through search for damages & red flags that would require immediate attention. Would would be the proper notice letter to advise the tenant & a checklist that I can follow of standard areas I should check first? All letters & checklists templates would be appreciated! Quarterly does seem too often.  We currently do annual, 18 months if they are stable long term tenants.  The property manager we just hired does every six months.  Whenever we walk through the units, it costs us in time and money when tenants bring up things they were letting slide, and they are a nightmare to schedule.

That being said, here is a letter and checklist we use:

Dear xxxx,

Congratulations on almost one year in your home! We hope you are enjoying the house; we appreciate your continued tenancy.

We’d like to perform an annual maintenance inspection on your house. We’d like to walk through the house and yard to look for any potential current or upcoming maintenance needs, check the smoke detectors, and touch base with you. We’d like to schedule this for an evening or weekend this month if possible, next month at the latest.

There is no need to do extra cleaning prior to our visit, we’ll be looking at the house not your housekeeping. We don’t want this to be a big deal. Please be thinking of anything you have noticed, or any questions or concerns you may have.

Please contact us to schedule a date and time that would be convenient for you. Bruce’s cell is xxx or Michele’s e-mail is [email protected]. If any of these work, we are currently available as follows in January:

All day (any time): Sundays 1/18 or 1/25

Evenings 6pm or later: Thursday 1/22, Friday 1/23, Tuesday 1/27, Thursday 1/29

  1. Flooring in good shape, loose edges? Did problem section lay down?

  3. Any drips under sink or other sink concerns?
  4. Any signs of water on ceiling?
  5. Both Cadet heater vents relatively clean?
  6. Smoke detector working?

BATHROOM

  1. Any drips under sink or other sink concerns?
  2. Any concerns at tub?
  3. Any signs of water on ceiling?
  4. Overhead vent relatively clean?
  5. Smoke detector working?

HALLWAY

  1. Any visible concerns – flooring, walls?
  2. Any signs of water on ceiling?
  3. Smoke detector working?

BEDROOM #1

  1. Smoke detector working?
  2. Windows holding up OK?
  3. Any signs of water on ceiling?
  4. Cadet heater vent relatively clean?
  5. Any signs of mold? In closet?

BEDROOM #2

  1. Smoke detector working?
  2. Windows holding up OK?
  3. Any signs of water on ceiling?
  4. Cadet heater vent relatively clean?
  5. Any signs of mold? In closet?

LAUNDRY ROOM

  1. Exterior door secure?
  2. Any items of concern?

MASTER BEDROOM

  1. Smoke detector working?
