How do you track property management tasks?

Hi all -- my husband and I currently self-manage our rental properties.  What ways have you found to efficiently track both routine (e.g. replace filters, connect with tenants, check gutters...) and new maintenance requests?  Looking for an efficient process that my husband and I can implement, that we can both see/edit, so we're always on the same page.  We use Cozy but unfortunately tenants see all tasks created.  Thanks in advance!
