Expense tracking for apartment renovations

Hello! 
I’m new to the bigger pockets community! My husband and I recently purchased a 12 unit building. It is 40 years old and my husband has been hard at work with renovations. He is currently using an excel spreadsheet to try to track expenses but it seems clunky.  It is very hard to track every trip to Menards/Home depot etc and document on which apartment the expense should be recorded on, how to record it etc. Further, we need a way to track general apartment maintenance- for example renovating the laundry room, common areas, exterior and so on. 

We are looking for a way to make it easy to record and view expenses on each apartment and the overall apartment building. Please send any programs, apps, and suggestions you might have! Any and all advice is appreciated!
